Track every return, engagement and review from client intake to signed and billed.

CPA firms carry hundreds of client engagements with fixed deadlines and a chain of preparer, reviewer and partner. Organisers, workpapers, time and invoices usually sit in separate tools. The CPA product holds each engagement, due date, document request, review sign-off and invoice on one record, so a partner sees what is late before the filing date arrives.

At a glance

A CPA firm sells a deadline. Individual returns, business returns, quarterly estimates, payroll filings, reviews and audits each fall due on a date set by someone else. Every one passes from preparer to reviewer to partner.

Most firms follow this in a spreadsheet of clients, a shared drive of workpapers and a billing tool that knows nothing of either. Staff chase clients for missing documents by email. The partner asks for status in the hallway.

How the work runs today

Client managers send engagement letters and organisers each year, then request documents such as statements, payroll summaries and prior-year workpapers. Staff accountants prepare returns and financial statements, record hours against each engagement, and pass finished files to a reviewer. A partner signs off before anything is filed or released to the client.

During busy season the firm tracks extensions, estimated payments and the clients who have not replied to the first two requests. Outside it, the same people run bookkeeping, payroll and advisory work for monthly clients. Seasonal staff are added and see a limited list.

Billing is a mix of fixed fees and hourly work. The billing lead turns recorded time into invoices, adjusts write-downs and follows up on unpaid balances, sometimes weeks after the return was filed and the client has stopped thinking about it.

Where it breaks

What goes wrong for cPA firms without a proper system.

Deadlines are tracked in a client spreadsheet

Each return or filing has a due date and an extension date. They are entered once a year by hand. A missed update shows only when the date has passed, and the penalty notice arrives after.

Document requests are chased by email

Clients send statements, receipts and tax forms in parts and by different routes. Staff cannot tell what is still missing without opening the whole email thread and reading every attachment name.

Review notes live outside the file

Reviewer comments are written on paper, in email or in a chat. A return reaches the partner with open points that nobody can list.

Staff hours are not tied to the engagement fee

Time is recorded after the fact in a separate sheet. A fixed-fee return that took twice as long goes unnoticed until the year is closed and the engagement has already lost money.

Unbilled work builds up after busy season

Finished engagements wait for an invoice because nobody owns the step. The partner finds out at quarter end. Cash is short.

What the software does

What we would build for cPA firms.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Client and engagement register

Hold each client, entity and family link with the engagements the firm performs for them, the fee basis and the responsible partner.

Due dates, extensions and recurring jobs

Create returns, filings and monthly jobs from a service list, each with its due date, extension date and assigned staff.

Document requests and client portal

Request documents by checklist, let clients upload to a portal, and see what has arrived and what is still outstanding without reading a single email thread.

Preparer, reviewer and partner sign-off

Pass each file through prepare, review and partner approval. Review notes stay on the job and are cleared before release, so the partner signs a file with no open points.

Time and utilisation

Record hours against engagements, compare them with the budgeted fee, and show each person’s booked and available time.

Billing, write-downs and collections

Raise invoices from fixed fees or recorded time, apply write-downs with a reason, and list unpaid balances by client and partner.

Staffing and busy-season workload

See each staff member’s open returns and deadlines, so work is given to someone with room before the filing date.

Common questions

Questions cPA firms ask before they call.

Does it prepare or file returns?

No. Preparation and e-filing stay in your tax software. Here you track the job, hold documents, record review and sign-off, and keep the filed copy and the acknowledgement with the engagement for the next year.

Can clients upload documents without email?

Yes. Each client gets a login to a portal with a checklist for the engagement. Files go straight onto the job, and staff see which items are still missing.

We run both tax and audit work. Does one set-up cover both?

Yes. Services are set up in your own list, each with its own stages, review steps and fee basis. A client can have tax returns, bookkeeping, payroll and an audit engagement open at once, each on its own stages.

Can it bill from our time entries?

It can raise an invoice from recorded hours at your rates, or from a fixed fee set on the engagement. Write-downs are recorded with a reason, and the partner approves them.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
