See who and what is free before anybody promises a date.

Resource allocation shows who and what is free before anybody promises a date. People, crews, vehicles and machines are booked against a job for particular days, and a second booking for the same slot is refused. The coordinator stops holding the week in his head, and the Thursday phone call stops happening.

What it is

The schedule lives with one person. He knows that the senior technician is at Whitefield until Wednesday, that the second van is in the workshop, and that one client has been waiting since last week. Then he takes leave, and the office discovers how much of the business was inside his head.

Assign the crew, the van and the machine to the job for the days they are needed. Anybody else looking at Thursday sees them taken. Leave, holidays and jobs that have overrun are on the same calendar, because those are what break a plan made on Monday.

Inside the module

What resource allocation does.

Who is free, and when

A week at a glance by person or crew, with jobs, travel and leave on the same row.

Booked against a job

An assignment belongs to a project or a service call, with a start and an end, and is not a note on a whiteboard.

The same person twice is refused

A double booking is stopped when it is made, and the coordinator is shown what already sits in that slot.

Skills and licences

Only a technician certified for lift work is offered for lift work. The same applies to a driver with a heavy licence.

Vans, machines and equipment

A vehicle or a concrete mixer is booked exactly as a person is, so two jobs never plan on one machine.

Idle and overloaded

Who has three hours of work this week, and who has fifty. Both cost you money in different ways.

Who touches it

The people who open this every day.

Scheduler or coordinator

Plans the week, moves people when a job overruns, and tells the customer the same day.

Supervisor or technician

Opens his own week on a phone: where he is going, when, and with whom.

Owner

Sees whether the next contract needs a new hire or only better planning.

How it fits

It is one part of a system, not an island.

A module earns its place by what it passes to the next one. These are the connections we set up most often.

  • Technician scheduling
  • Task management
  • Attendance and time tracking
  • Project timelines with Gantt charts

Common questions

Questions owners ask about resource allocation.

Why change when our whiteboard works?

Keep it while the whole team stands in front of it every morning. It fails the day crews start going straight to site, or when the person who maintains it is on leave and the board means nothing to anybody else.

Can a technician see his week on his phone?

Yes, his own row and nothing more: the address, the time, the job and the customer’s number. Our pest control system dispatches technicians on routes in the same way.

What happens when a job overruns?

The coordinator moves the assignment, and the system shows what it collides with next. The software cannot make the day longer. It can stop you promising a slot that was already gone.

Does leave show up here automatically?

Yes. Once leave is approved in the HR records, the day goes grey on the plan. That single link prevents most of the Thursday morning surprises.
