What it is

There is a group for each client, a group for the office, and a group somebody made for one delivery and never closed. Work is discussed in all of them. A week later nobody can find the message where the change was agreed, and two people have done the same thing differently.

Here a task carries one name and not two, and a date that somebody agreed to. Everything about it stays on the task: the brief, the reply, the file and the day it was reassigned. WhatsApp goes back to being for conversation.

Questions owners ask about task management.

Why not just buy Trello or Asana?

Often you should, and we will tell you so. Ready tools are cheap and good at this. The free technology audit usually ends by naming one. Build only the part that has to come out of your own records, such as a job card or an approved order.

Will the team actually use it?

Only if you start small. Put the five things that repeat every month into it and leave everything else on WhatsApp for a few weeks. A board with two hundred tasks on day one gets abandoned by day ten.

Does it work on a phone?

Yes, and for site staff that is the only screen that matters. A supervisor marks a stage done and attaches a photograph without ever opening a laptop.

Can a client see his own tasks?

Only what you choose to show, through the client portal. Most firms show milestones and approvals, and keep the internal chasing to themselves.
