Count revisions against the quote and tie each invoice to a stage.

A branding or design studio quotes a fixed fee, then absorbs extra rounds, quick variants and unpriced deliverables. Studio software built for this would count revisions against the quote, keep each approval with the version approved, and tie each invoice to a stage. Work outside the quote would be priced before it starts, and the brand files would stay findable for years.

At a glance

Studios rarely lose margin on the first draft. They lose it on the later rounds, and on work that grew past the quote, such as packaging, stationery or a social kit added by a friendly request.

Quoting, proofing and billing form one chain in a studio, and a custom build would treat them that way. Share your requirements, along with the proposal template and tracker you use today, and the build starts from where rounds leak.

How the work runs today

A founder enquires about a logo, and the scope grows to packaging, stationery and a social kit. A quote goes out with stages and a revision limit, half is taken in advance, and the designer starts on moodboards. Proofs travel as PDFs. Feedback returns from several people at the client. Nobody is sure whose comment settles the round.

Print-ready artwork, working files and the brand guidelines sit in shared folders, and printers ask for them years later. Invoices go out of the accounting package, and not one of them records how many rounds the project actually took.

Where it breaks

What goes wrong for branding and design studios without a proper system.

Rounds are not counted

The quote allowed three rounds. The client received more, and it is difficult to show which change came when. Extra work is absorbed.

Out-of-scope work is agreed on a call

A quick variant for another format is promised in a conversation and nobody prices it. By the end of the project there are several. Scope creep arrives in small favours.

Feedback arrives from several people

The founder, the marketing head and others send comments, and the designer does not know whose approval is final. Rounds run on while that is settled.

Old files are requested repeatedly

Printers and agencies ask for the same logo pack for years, and someone searches old folders each time. The working files often sit on one laptop.

Designer workload is not visible

The owner cannot see who is working on what, so a deadline slips unnoticed. The first sign is a complaint.

What the software does

What we would build for branding and design studios.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Stage-wise project quote

Quote by deliverable with a revision allowance, then invoice each stage as it is approved.

Proof approval with round count

Send each proof as a link that opens on a phone, and record sign-off by the named approver. The round number is logged with it, so a dispute about the third round is settled from the record.

Change request log

Record work outside the quote with a price the client accepts first, so a small favour becomes a line on the invoice. Nothing is free by default.

Brand asset library

Keep print-ready artwork, working files, fonts and colour codes per client, shared as a link, so a printer’s request years later is answered from one place.

Studio workload board

Show each designer’s projects and due dates, so a rush request can be assessed.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, accounting reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions branding and design studios ask before they call.

Will our ledger software remain our books?

Yes. Your accounting software stays as your books, and a link to it is not part of the build by default. An export can be scoped during implementation and carries its own price.

Is it too much for a three-person studio?

Probably. A shared tracker and a firm revision clause in your quote can go a long way, which is worth trying before any new software. Consider it as the team grows and account managers join.

Will it stop a client asking for one more round?

No. Nothing will. It would record the request, count it against the allowance in the quote, and put a price on it before the work starts.

Who at the client has final say?

Each project would name one approver, and a proof would close only when that person signs off. Comments from others stay with the proof but do not end a round.

How is a studio system priced?

Studio size drives it, meaning how many designers and account leads log in. So does proofing with round counts in the first release. A library of old brand files to move in adds work. Pricing arrives after your last few quotes have been studied and screens demonstrated, and each module carries its own line so one can be removed to see the change. No line is left hidden.

What does a design studio need to hand over at the start?

Share two or three recent quotes, the proof threads that went badly, a folder tree of finished brand files, and your invoice layout. Appoint a studio director, a lead designer and whoever raises invoices. They can reply fast when a screen looks wrong.

If the studio stops using it, are old brand files still ours?

Yes, entirely. The code, the data and every uploaded asset are the studio’s. Quotes, approvals, round counts and file indexes export as ordinary spreadsheets. Its builders also look after support, and GullySystem handles hosting, with a different arrangement available, and the studio can ask those same people about its quotes and approvals.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
