Do you come to our office, or is support remote?

Most things are fixed remotely, and faster that way, because nobody waits for traffic. Our office is in Nagarbhavi, Bengaluru, so on-site visits work here and in the surrounding area, and we agree how often those happen as part of the arrangement. For offices in other cities we support remotely and, where hands are genuinely needed, work alongside a local vendor you appoint. We would rather say that plainly than imply a national field-service network we do not have.

How do your staff reach you when something breaks?

By email, phone or WhatsApp, whichever they will actually use. What matters is that each request becomes a ticket with an owner and a priority, because a message in a chat is forgotten by evening and a pattern of the same fault recurring is invisible. Priorities are agreed with you up front, so a billing counter down on the first of the month is treated differently from a printer that is producing faint prints.

What is actually covered in a monthly arrangement?

Typically the helpdesk, patching, endpoint protection, monitoring, backup checks with tested restores, account and access management including joiners and leavers, vendor coordination and a periodic review. What sits outside is usually hardware purchase, third-party licence fees, cabling and civil work, major projects like an office move or a server migration, and software development. We write the boundary into the agreement, because the arguments in this business are almost always about what was assumed to be included.

Can you look after our Microsoft 365 or Google Workspace?

Yes, and this is often where the quickest improvements are. Mailboxes, groups, aliases, shared drives and licence assignment get tidied. Two-step login is enforced across the tenant, which alone stops most of the ordinary attacks. Mail filtering and domain records are set properly, sharing rules are reviewed so files are not open to anyone with a link, and alerting is added for suspicious sign-ins. The tenant stays registered to your business with your billing.

Who owns our domain, licences and accounts?

You do, and we insist on it. Domains, tenants, hosting and subscriptions go in your business name with your billing details, and we are added as administrators. A surprising number of businesses find out during a dispute that their domain is registered to a former consultant or that their hosting is on somebody’s personal card. If you leave us, you change our access and keep everything, which is how it should be.

How do you handle backups, and how do we know they work?

By restoring from them on a schedule and recording the result. Backup software reports success far more often than it delivers a working recovery, usually because something changed after it was set up and nobody checked. We back up servers, shared drives, mailboxes and business application data, then periodically recover a sample and verify it opens. You get the restore log in the review. A backup nobody has restored is a plan, not a protection.

What happens when an employee joins or leaves?

A checklist runs, agreed with your HR. On joining: accounts created by role, the right groups and drive permissions, the device prepared and handed over with a record of what they have. On leaving: access removed on the last working day, the mailbox held or forwarded as you decide, files transferred to the manager, the device collected and wiped, and shared passwords the person knew changed. The common failure is HR telling IT after the fact, so we ask to be told before the date.

Do you support Tally and our accounting setup?

We support the environment it runs on: the machine or server, the licence, the network path staff connect over, the data folder and its backup, and the restore when something goes wrong. Questions about how to record a transaction belong to your accountant or to Tally’s own support. Where you want Tally connected to other software, so invoices or payments flow automatically instead of being re-typed, that is integration work and is quoted separately.

What does managed IT support cost?

It is usually priced per user or per device per month, and the drivers are how many people, how many machines, whether there are servers, how many sites, what hours you need cover for, and how much on-site attendance is expected. Third-party costs such as licences, backup storage and hardware are yours and are listed separately rather than buried in a bundle. We quote after the inventory, because quoting before it means either padding the number or arguing about scope in month three.

Our systems are a mess. Is that a problem for starting?

No, it is the usual starting point. Shared administrator passwords, unpatched machines, backups nobody has tested, live accounts for people who left, licences bought four times over. The first weeks are an inventory and a stabilising pass, which sometimes needs spending on a licence or a replacement machine, and we put that in the risk report with a priority against it. Nobody is judged for the state of things. It is what happens when a business grows and nobody was given the job.

Can you work with our existing IT person?

Yes, and it often works well. Your person keeps the daily work and the relationships inside the office, and we take the areas they would rather not carry alone: security baselines, backups and restore testing, the mail tenant, servers, out-of-hours escalation and cover during their leave. It also removes the risk of one person holding all the knowledge. We are explicit about who owns what, because co-managed arrangements fail when both sides assume the other is watching something.

What security do you put in place?

The ordinary controls that stop the ordinary attacks, because most incidents at this size are not sophisticated. Two-step login on mail and administrator accounts. Individual logins instead of shared ones. Administrator rights limited to the people who need them. Devices patched, encrypted and running endpoint protection. Mail filtering and correct domain records. Alerting on impossible sign-ins and bulk downloads. Access reviewed periodically. Where you hold sensitive personal data or need penetration testing, that is separate work and we will point you to it.

How quickly do you respond?

Against priorities we agree with you rather than a single number that means nothing across every kind of fault. A billing counter down, the mail server unreachable or a suspected breach are treated as immediate. A single user unable to print is not. The agreement sets out which category covers what, the hours during which the targets apply, and how out-of-hours escalation works. We would rather set targets we meet consistently than publish an impressive one and explain it away later.
