Offset and digital presses run Printing Press Management Software, which GullySystem sets up for the unit. Estimates become job cards, and each job carries its artwork approval, paper issue, press and finishing stages, delivery challan and GST invoice. Owners, estimators and machine supervisors each have a view. Job costing compares the estimate with what the work used.

Estimates are worked out from memory

The same visiting card or brochure is quoted differently on different days. Paper, plates, press time and finishing are not recorded against the quote.

Job cards live on paper

A job card travels from the counter to the press and on to binding. Copies go missing, and nobody can say where a job is now.

Proofs are approved by message and then disputed

A client sends an approval on WhatsApp, a call or in person. When the print comes out wrong, there is no single record of which proof was approved.

Paper is not counted against jobs

Sheets are cut, spoiled and left over without being written down. Paper stock in the godown and the paper bills from merchants rarely agree.

Outside work is hard to follow

Lamination, die-cutting and binding go to outside units. A job sits there with no date back, and the cost is posted late.

Dues build up by customer

Invoices go out after delivery, challans are raised separately, and credit customers pay in parts. The press cannot say quickly who owes what.

    Enquiry and estimate

    The enquiry names a quantity, size, paper and finish. The estimate is built from paper, plate, press and finishing costs and sent to the customer.

    Job card and artwork

    An accepted estimate becomes a job card. The artwork is received, checked, and a proof goes to the customer for approval.

    Paper and plates

    Sheets leave stock against the job, and plates are made for the colours and forms the job needs.

    Press and finishing

    The job is booked on an offset or digital machine, then moves to cutting, folding, lamination, binding or outside units, with each stage marked.

    Delivery and billing

    A delivery challan goes with the goods. The GST invoice follows from the job, with the paper and finishing already costed.

    Reorder and follow-up

    A repeat job opens from the earlier job card. Dues are followed up from the customer’s account.

Questions owners ask before a demo.

Is this for offset presses or digital printers?

Both. Machines are entered as you run them, so an offset press, a digital press and a cutting or binding unit each appear as a place a job can be booked.

Can it build an estimate for a brochure or a bill book?

Yes. The estimate takes size, quantity, paper, colours and finishing, using the rates your estimator uses today. The rates are entered during set-up.

Can customers approve proofs through the system?

Proofs and approvals are recorded against the job. How a customer sends the approval, by WhatsApp, mail or in person, is agreed with you.

Does it track paper and plates?

Yes. Stock is counted by size and GSM and issued against each job, with spoiled sheets noted. Plates, inks and chemicals have reorder levels.

How is outside work handled?

Each outside unit is entered as a vendor. A job sent for lamination or binding shows the date sent, the date due back and the charge.

Is the press software linked to Tally?

Not built in. Your accountant works from the invoices and payments held here, and a Tally link is priced after scoping.

Can open jobs and customer dues be moved across?

Yes. Your register or software supplies the customers, jobs in hand and outstanding balances, and the counter checks the list before the press goes live.

Who owns the customer and job data?

You do. How your records leave with you is stated in the proposal from the outset.

What does it cost?

No price is published. It depends on machines, users and set-up, so you watch a demonstration first and then receive the cost in writing.

Is it too much for a small press with one machine?

Possibly. If jobs are few and quoted from a rate card, a register and UPI will do. A free technology audit can say so plainly.
