Delivery Challans and Dispatch for Printing Presses

Finished work leaves the press with a delivery challan that lists the job, the packs and the count. Part deliveries and the balance still to go are tracked against the same job card.

What a challan records

Job and customer

The challan is raised from the job card, so the customer name, job number and item description come across without being typed again.

Packs and counts

Bundles, cartons or packs with the count in each. A bill book job might be forty packs of fifty books.

How it travels

Own vehicle, tempo, transport office or courier, with the lorry receipt or tracking number where there is one.

Receipt

The receiver’s name and signature, or a photo of the signed copy, attached to the challan on return.

Part deliveries

A school may want half the notebooks before term begins and the rest later. That is routine at a school press. The first challan takes what is ready, and the card keeps the balance as an open quantity. Each later challan reduces it. The total sent is always checked against what was ordered. Nobody has to remember what is still owed. The count is on screen.

From challan to invoice

Dispatch hands the delivered quantity to accounts. The invoice is then raised for what actually left the press. A customer who disputes a count can be shown the challan, the pack list and the signed receipt in one place.

What this module leaves out

It does not book transport or choose a courier. A vehicle’s e-way bill, where one is needed for the goods, is a matter for the press and its accountant. The challan format and the series follow what the press already prints.

Can a challan carry several jobs for one customer?

Yes. Jobs ready for the same customer on the same day can go out on one challan, with each job listed as its own line.

Is the challan printed in our own layout?

Yes. The layout, numbering and wording are set during implementation to match what your press prints today.

Can we keep a photo of the signed copy?

Yes. A photograph or scan of the signed challan is attached to the job, so it can be pulled up when a count is questioned.

What happens to goods returned by the customer?

A return is entered against the original challan with the reason. What happens to the invoice is decided by the press.
