WhatsApp That Answers, Reminds and Updates Without Anyone Typing It Again
GullySystem sets up the WhatsApp Business API on your own number, gets your templates approved, records opt-in properly, and connects WhatsApp to your CRM, billing or booking system, with a bot that hands the chat to a person the moment judgement is needed.
- Set up on your own Meta account, your own number, your own chat history
- Opt-in recorded and templates approved before the first message goes out
- The bot stops and calls a person the moment a customer asks for one
We connect WhatsApp to the systems that distributors, clinics, schools, showrooms, service companies and online brands already run, so an invoice raised in billing sends its own reminder and a booking confirms itself. Some of that work is one template wired to a due date. Some is a full conversation flow with a shared inbox, a CRM behind it and a bot that answers catalogue and status questions before a person is needed.
Your Business Runs on WhatsApp. Does Anything Else Know What Was Said There?
The Accounts Clerk Spends Monday Morning Typing Reminders
A printed ageing list sits next to the keyboard. WhatsApp Web is open. The same sentence goes to one customer after another until lunch, with the invoice number changed each time, and three get missed because the list ran to a second page.
Orders Live Only Inside a Chat Thread
A dealer sends a voice note with six items. Somebody listens to it, writes it on a pad, and types it into billing later. When the quantity is questioned a week on, the proof is a 40-second recording nobody can find.
The Business Number Is One Person’s Phone
Every enquiry reaches a handset that goes home in the evening and travels on leave. When that person leaves the company, the customer relationships and the chat history walk out with the SIM.
Messages Stop Sending and Nobody Knows Why
A number sends a few hundred promotional messages to a purchased list. Recipients block and report it. Delivery drops, the quality rating falls, and the limit on how many people the business can message a day tightens exactly when a sale is starting.
A Bot Was Installed and Customers Hate It
Press 1 for sales, press 2 for support, press 3 to go back. A customer with a genuine complaint loops through the menu twice, finds no way to reach a human being, and calls the owner directly to say so.
Nobody Can Say Who Agreed to Be Messaged
Numbers arrive from an exhibition register, a website form, a vendor list and an old Excel sheet, all mixed into one broadcast. If Meta or a customer asks when and how consent was taken, there is nothing on record to show.
The Enquiry Is Answered and Then Disappears
A staff member replies within a minute, shares a rate, and moves on. No lead record exists, no follow-up is due, and the same customer enquires again next month to a different number and gets a different price.
None of this is a WhatsApp problem. It is that the messages are typed by hand instead of being sent by the record that already exists, and that nothing writes the conversation back into your customer history.
One Business Number, Connected to the System That Knows the Answer
We take your business number onto the WhatsApp Business Platform, get the display name and the templates through Meta’s review, and record opt-in so the messaging stands up to scrutiny. Then we connect it to the system where the invoice, the appointment or the dispatch actually lives, so the message sends itself with the right numbers in it.
The Record Sends the Message
A due date in billing fires the reminder. A dispatch entry sends the LR number. A booking confirms itself and reminds the day before. Nobody copies a number from one screen to another.
A Bot That Knows When to Stop
It answers order status, catalogue, timings and payment questions from your own data. Anything about a complaint, a discount or a dispute goes to a named person with the conversation attached.
Opt-In and Templates Done Properly
Consent is captured with a source and a date, templates are written to pass review the first time, and message categories are chosen so the right ones can go outside the service window.
What Changes Once WhatsApp Is Wired to Your Systems
Focus on business value before discussing technology. Here is what your team accomplishes in week one.
Reminders Go Out Whether Anyone Remembers or Not
Payment follow-ups, appointment reminders and delivery updates leave on the date the record says, including on the day the clerk is on leave and the day before a festival.
The Number Belongs to the Business
Conversations land in an inbox your whole team can open, with the customer’s history beside the chat, so a reply does not depend on whose phone it reached.
Customers Reach a Person When It Matters
Routine questions get an instant answer. A complaint, a price argument or a confused customer is passed to staff with everything already said in front of them.
Consent You Can Actually Show
Each number carries where the opt-in came from, when it was given and how it can be withdrawn, which is what protects the number from blocks and reports.
Enquiries Stop Vanishing Into Chat
A new WhatsApp enquiry creates a lead with a source and an owner, so the follow-up is due on someone’s screen rather than remembered by one salesperson.
You See Replies, Blocks and Opt-Outs
Reporting shows delivery, responses, opt-outs and the quality rating on your number, so a message that annoys people gets stopped before Meta limits you.
What WhatsApp Business API and Chatbot Work Includes
Everything required from operational discovery to production deployment and long-term maintenance.
Business Verification and Number Onboarding
We take your business through Meta Business verification, register the number on the WhatsApp Business Platform, get the display name approved and set up two-step verification on the account.
Direct Cloud API or Provider Selection
Going straight to Meta’s Cloud API or through a provider changes what you pay, who holds the account and how much is built for you. We lay out the trade-off and set up whichever suits your volume.
Message Template Writing and Approval
Templates drafted in the right category, with variables that carry the invoice number, the amount or the slot, submitted for Meta’s review and reworked if anything comes back rejected.
Opt-In Capture and Consent Records
Opt-in added to your website forms, order confirmations, counter software and missed-call or QR flows, each entry stored with its source, timestamp and a working way to opt out.
Chatbot and Conversation Flow Design
Flows written around the questions your staff answer every day, in short turns rather than long menus, with a way out to a person available at every step.
AI Replies From Your Own Documents
Where a menu is too rigid, an assistant answers in plain language from your approved price list, policy and catalogue, and says it does not know rather than making something up.
Human Handover and Shared Team Inbox
Conversations route to the right desk by topic or language, with assignment, internal notes, the customer record alongside, and working hours that set expectations honestly.
CRM, Billing and ERP Integration
The bridge between WhatsApp and the system that holds the truth: leads created, invoices read, payments confirmed, appointments booked, tickets raised, each written back so nothing lives only in chat.
Catalogue, Payment Links and Interactive Messages
Product lists, quick-reply buttons, call-to-action links and UPI or gateway payment links sent inside the conversation, so a customer confirms and pays without leaving the thread.
Broadcast and Campaign Set-Up
Segmented sends to numbers that opted in, scheduled sensibly, with the category, the frequency and the opt-out honoured so the number’s quality rating survives the campaign.
Reporting, Quality and Cost Monitoring
Dashboards for delivery, read, reply and opt-out rates, the quality rating and messaging limit on the number, and what the conversations are costing you month to month.
Migration From an Existing Provider
Moving a number already on another platform, carrying templates across, keeping the display name and planning the switch so messages are not lost in the gap.
Where WhatsApp Automation Earns Its Place
Real-world business processes we configure and automate.
Distributor: The Friday Payment Follow-Up, Without Friday Disappearing
Reminders leave on the due date and again after it, each with that dealer’s outstanding amount and invoice copy attached. A dealer replies asking for a statement and the bot sends the ledger for their account only. When the reply is a request for more credit, it goes straight to the sales manager with the ageing already on screen.
Clinic: Confirmations, Reminders and the Slot That Opens Up
Booking confirmations carry the doctor, the time and the branch. A reminder goes the evening before with a reschedule link, which cuts the number of chairs sitting empty at 11am. When a patient replies to cancel, the front desk sees it in the shared inbox rather than on one receptionist’s phone.
Furniture Showroom: An Enquiry at 9pm That Is Still Alive on Monday
A customer messages after closing about a sofa they saw on Instagram. The bot shares the fabric options and the delivery timeline, records the name and the model, and creates a lead. In the morning a salesperson picks up a conversation that already has the shade code in it.
School: Fee Reminders and Attendance Notices Parents Actually Read
Term fee notices, receipts and absence messages go to the parent number on record, in the language the family uses. A parent replying about a concession reaches the office, not a broadcast list. Nothing clinical or disciplinary goes into a template, because those conversations belong to a phone call.
Service Company: The AMC Renewal That Nobody Had Time to Chase
Thirty days before an AMC expires, the contract record sends a renewal message with the equipment and the site. A reply of yes raises a renewal task for the coordinator. A technician’s completed job card sends the customer a photo and a service report the same evening.
Online Brand: Order Updates That Stop the “Where Is My Parcel” Calls
Confirmation, dispatch with the tracking link, out for delivery and delivered, each fired by the order’s own status change. Returns start in the chat and open a ticket. Marketing goes only to customers who opted in, and the opt-out works the first time somebody uses it.
Is This Service Right for Your Business?
We partner with established businesses that have outgrown manual processes and want reliable systems.
Businesses Where WhatsApp Is Already the Order Book
If most of your enquiries, orders and follow-ups already happen in chat, the work is not persuading customers to use it. It is making the rest of your systems aware of what happens there.
Teams Typing the Same Message Dozens of Times a Day
Payment reminders, booking confirmations, dispatch updates and receipts, where the wording barely changes and only the number in the middle is different.
Companies Outgrowing the Free WhatsApp Business App
The app is fine until several people need the same number, until messages must be triggered by your software, or until the volume goes past what a person can type.
Businesses With a Number That Has Been Restricted
If delivery has dropped or the quality rating has fallen after a bulk send, the fix is consent, message categories and frequency, not a new SIM card.
Owners Who Want the Conversations to Stay With the Company
When a salesperson resigns, the chat history, the customer numbers and the half-finished negotiations should stay in a business inbox rather than leave on a personal handset.
When the Free App Is Still the Right Answer
Sending a few dozen messages a day from one counter? Quick replies, labels and a catalogue in the free WhatsApp Business app will do the job, and paying for the platform buys you nothing. If your orders exist only inside chat threads with no billing or booking record behind them, automation has nothing to read, and recording orders properly comes first. We will say so rather than sell you an integration that has no data to run on.
Enterprise Capabilities in Plain Business Terms
Cloud API on Your Own Number
The platform account, the phone number and the message history sit under your business, not inside an agency’s tenant.
Template Library by Category
Utility, marketing and authentication templates drafted, submitted and versioned, with variables mapped to real fields in your system.
Opt-In Register With Source
Every number carries when consent was given, through which form or counter, and whether it has since been withdrawn.
Customer Service Window Handling
The software knows when a conversation is open for free-form replies and when only an approved template may be sent.
Shared Inbox With Assignment
Conversations claimed by staff, reassigned by topic or language, with internal notes nobody outside sees.
Bot to Human Handover
A clear exit at every step, plus automatic escalation on words like complaint, refund or legal, and on repeated failed answers.
Two-Way System Integration
Read the invoice, the booking or the order status, and write the reply, the lead or the ticket back into the same system.
Interactive Buttons and Lists
Quick replies, list menus, catalogue messages and call-to-action links, so customers tap rather than type free text.
Payment Links in the Conversation
UPI or gateway links sent with the invoice, and the payment confirmation written back against that invoice.
Regional Language Messages
Templates and bot replies in Kannada, Hindi, Tamil, Telugu, Marathi or whichever language your customers answer in.
Quality Rating and Limit Monitoring
Alerts when the rating on your number drops or a messaging limit changes, so a campaign can be stopped before the restriction lands.
Conversation and Cost Reporting
Delivery, replies, opt-outs, handover volume and what Meta charged, broken down by template and by campaign.
Our Structured 6-Step Delivery Process
A transparent path from your first conversation to a reliable production release.
Message Audit and Use Case Shortlist
We scroll through the chats your staff actually send and list every message that repeats. From you we need access to a couple of staff handsets for an hour, and an honest answer on where each message’s trigger is recorded today.
Account, Number and Verification
We set up the Meta Business account, complete business verification and register the number. From you we need your GST or incorporation documents, a number that is not already active on the WhatsApp app, and a decision on whether to move an existing number or start a new one.
Opt-In, Templates and Approval
We add consent capture where your customers already reach you and draft the templates in the correct category. From you we need the wording you want customers to see and someone who can settle what the business is allowed to promise.
Integration and Bot Build
We connect WhatsApp to the billing, CRM or booking system, build the conversation flows and set the handover rules. From you we need API access or database credentials for that system, and a test company or sandbox to work against.
Pilot on a Small Group
We run the flows with a few dozen real customers and one team, watching replies, blocks and anything the bot answered badly. From you we need the staff who will use the shared inbox, and patience to leave the pilot running long enough to learn from.
Rollout, Training and Monitoring
Full launch with the inbox team trained, escalation rules agreed and reporting live. From you we need the name of the person who owns the number, and a monthly look at opt-outs and quality before volume is increased.
What You Receive Upon Project Completion
Everything required to run, maintain, and expand your software without vendor lock-in.

Why Business Owners Choose GullySystem
We Start With Your Records, Not a Bot Script
A reminder is only as good as the due date behind it. We look at whether the invoice, booking or dispatch is actually recorded somewhere before promising to message anyone about it.
The Account Stays Yours
Meta Business Manager, the number, the templates and the conversation history are registered in your business. If you stop working with us, you keep the asset and the history.
We Will Tell You Not to Broadcast
Buying a list and blasting it is the quickest way to lose your number. We would rather lose the campaign than watch delivery collapse on the number your customers already save.
Handover Designed Before the Bot Is
The first thing we agree is which conversations a machine must never handle. Complaints, credit and negotiation go to a person, with everything said so far already in front of them.
Written in the Language People Reply In
Templates and bot answers in Kannada, Hindi, Tamil or Marathi where your customers use them, checked by someone who speaks it rather than run through a translator.
Measured on Replies, Not Opens
We report payments received after a reminder, no-shows after a confirmation, and how many people opted out. Those tell you whether the messages helped or irritated.
Flexible Engagement Options
Choose an engagement model that matches your operational scope, budget, and timeline.
Setup and Template Pack
Verification, number onboarding, opt-in capture and an agreed set of templates wired to one system, so reminders and confirmations start sending without a long project.
Full Integration Build
Two-way connection to your CRM, billing or booking software, conversation flows, shared inbox and reporting, delivered as one project with a pilot before rollout.
Chatbot and AI Assistant
A conversation flow or a document-grounded assistant for the questions your staff repeat all day, with handover rules, review of what it answered and tuning over the first weeks.
Managed WhatsApp Operations
New templates submitted as you need them, quality rating and cost watched, flows adjusted from what customers actually reply, and someone to call when a message stops delivering.
Frequently Asked Questions
Straightforward answers to the questions owners ask before getting started.
Do I need the WhatsApp Business API, or is the free app enough?
The free WhatsApp Business app is enough for a lot of shops. It gives you a greeting message, an away message, quick replies, labels and a catalogue, all from one phone. You need the WhatsApp Business Platform once several people have to answer the same number at once, once messages have to be triggered by your own billing or booking software rather than typed, or once the volume goes beyond what a person can send by thumb. Moving before you need it just adds a monthly cost.
Can we send promotional messages on WhatsApp?
Yes, to people who agreed to hear from you, using an approved template in the marketing category. The rule that matters is consent: blocks and reports from people who never opted in are what drag down the quality rating on your number, and Meta limits businesses whose quality stays low. Keep a record of when and how each customer opted in, make the opt-out work properly, and treat frequency as a real constraint rather than a suggestion.
What is the 24-hour window, and why does it decide what we can send?
When a customer messages you, a customer service window opens and your team can reply in free-form text for its duration. Outside that window you can only send a template that Meta has approved in advance. This is why a payment reminder or a dispatch update has to be a template with variables in it, and why a bot cannot simply answer whatever it likes three days later. We design the flows around that boundary rather than fighting it.
How long does template approval take, and what gets rejected?
Most templates come back quickly, but the review is real and rejections happen. The usual causes are the wrong category, a marketing message dressed up as a transactional one, placeholders that do not read as sentences, promises the business cannot keep, or asking for information Meta does not want collected in chat. We draft to those rules first time, and when something is rejected we rework the wording and resubmit rather than leaving you to guess what went wrong.
Can WhatsApp send invoices and reminders from Tally?
Yes. An integration reads the invoice and the outstanding amount from Tally or your billing software and sends it as a document with an approved template. The difficult part is not the message, it is matching the right phone number to the right ledger, because Tally masters are often full of old numbers, blanks and landlines. We clean and match that data first, then test on a handful of customers before switching it on for everyone.
Will a chatbot annoy our customers?
It will, if it is a menu with no exit. The bots that work answer the three or four things people genuinely ask over and over, in one or two turns, and offer a person at every step. We agree up front which conversations a machine must never take: complaints, refunds, credit, price negotiation and anything from a customer who is already upset. A customer should always be able to reply and reach a human being.
Can it answer in Kannada or Hindi?
Yes, and it should if that is how your customers reply. Templates can be approved in several languages and the bot can detect which one a customer is writing in. We have the wording checked by someone who actually speaks the language rather than trusting a translation tool, because a stiff or wrong sentence in a customer’s own language reads worse than plain English.
Who owns the WhatsApp number and the account?
You do. We set up Meta Business Manager and the WhatsApp Business account under your business, with your documents and your admin login, and we are added as a user rather than the owner. The templates, the number and the conversation history belong to you. If you later move to another provider or bring the work in-house, you take the account with you, which is exactly why we do not put it under our own.
What does WhatsApp itself cost, and what does the integration cost?
Two separate things. Meta charges for messages, and what you pay depends on the category of message, the country and the current pricing model, which Meta changes from time to time. That bill is yours and goes directly to Meta or through your provider. Our side is the set-up and the integration work, quoted after we see how many use cases you want and which systems have to be connected. We will show you an estimate of the monthly message cost before you commit, so the running cost is not a surprise in month two.
Our number was restricted after a bulk send. Can it be recovered?
Often, but not by ignoring the cause. A restriction follows blocks and reports, so the first step is to stop the campaign, cut the frequency and check where those numbers came from. Quality ratings can recover when messages people actually want start going out instead. We review the opt-in position, rewrite the templates and phase the volume back up. Sometimes the honest answer is that the list was bought and should not be messaged at all.
Can WhatsApp conversations create leads and tickets in our CRM?
Yes, and that is usually the part worth more than the messaging. A new enquiry creates a lead with its source, its first message and an owner, so the follow-up sits on somebody’s screen instead of in one salesperson’s chat. A complaint raises a ticket. A confirmed order writes back into billing. Without this, WhatsApp stays a place where conversations happen and nothing is remembered.
How do we move from our current WhatsApp provider?
A number can be migrated between providers, and your templates and display name can usually be carried across. The care is in the sequencing: the number has to be released cleanly at one end and registered at the other, and there is a short period where messages should not be sent. We plan the switch for a quiet hour, keep the old flows running until the new ones are proved, and check that opt-in records come across rather than restarting consent from zero.
What should we automate first?
Start with the message your staff already type most often, and run only that one for a few weeks. For most businesses it is the payment reminder tied to an invoice due date, or the booking confirmation with a reminder the day before. Pick it because the wording barely changes and a missed one costs money. Our free technology audit will look at your existing chats and your billing records together and tell you which single message would save the most time, before anything is built.
