GullySystem
Media · Radio Station Management Software

One connected system for airtime orders, daily logs, sponsors and billing.

Manage advertiser accounts, rate cards, spot orders, daily logs, sponsorships, studio bookings and invoices for a radio station in one system. Each order carries its spots, its dates, its creative and its billing from the first quote to the final payment. Sales sees open breaks. Traffic builds the log. Accounts bill from what aired.

  • Rate cards, dayparts and programme slots entered the way you sell
  • Advertiser list, open orders and unpaid invoices migrated
  • Changes to rates and spot lengths made by GullySystem staff when asked

A station keeps its advertiser accounts, spot orders, daily logs and sponsorships in Radio Station Management Software, which GullySystem fits to your rate card and break structure. Each order carries its spots, its creative, its approvals and its billing. Sales sees open breaks, traffic builds the log, and accounts invoice from the as-run record. Studios and equipment dates sit on the same system.

Where it breaks today

What goes wrong before the software.

Orders are retyped into the log

Someone types each booked spot into the daily log a second time. A doubled or missing spot is found when the advertiser phones.

Rate card versions differ

Each salesperson holds a copy with different prices by daypart. Two advertisers are quoted different rates for the same break.

Competing brands clash

Two rivals are placed in the same break because nobody checked the log. The traffic team learns of it on air.

Billing trails the as-run record

Proof of what aired is collected after the month. Invoices go late, and credits for missed spots are argued.

Approvals are chased by message

Scripts and audio files wait with advertisers and programme heads. Orders sit unconfirmed beyond their start date.

Studio use and licence dates slip

Studios are booked on a wall chart, and music licence and equipment dates are remembered, not recorded.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry

An advertiser or agency enquires. The contact, the product and the budget are logged against an account.

  2. 2

    Quote

The salesperson picks daypart, programme and spot length from the rate card, and the quote goes to the advertiser for acceptance.

  3. 3

    Order and approval

An accepted quote becomes an order. The script or audio file goes to the advertiser and programme head for approval.

  4. 4

    Log

Spots are placed in open breaks with competing brands kept apart, and the daily log is built for the studio.

  5. 5

    As-run

The log is compared with what aired. Missed spots are marked for make-good or credit.

  6. 6

    Invoice and collection

Invoices follow the as-run record, with agency commission shown. Receipts are posted and balances chased.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Advertiser enquiries and accounts

Log each advertiser and agency enquiry, keep contacts and history, and move the account from pitch to first order.

Rate cards and quotes

Quote from one rate card with prices by daypart, programme and spot length, and keep each revision beside the quote.

Spot orders and availability

Book spots against the breaks that are still free, and see competing brands that must be kept apart before an order is confirmed.

Daily log and as-run record

Build the day’s log from booked orders, compare it with what aired, and mark missed spots for a make-good or a credit.

Sponsorships and contracts

Hold season-long sponsorship and programme contracts with their mentions, dates and payment terms, and see what remains to air.

Copy and script approvals

Route each script and audio file to the advertiser and the programme head for approval before it enters the log.

Studio and outside broadcast booking

Book studios, edit suites and outside broadcast kits by show and producer, so two teams do not arrive for one room.

Sales commissions

Work out commission for sales executives and agencies from invoices that have been paid.

Invoices and collections

Raise invoices from the as-run record, post receipts, and chase advertisers and agencies by oldest balance first.

Equipment and licence register

Track music licence, transmitter and studio equipment dates, with reminders before each one lapses.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Lead Management

Each advertiser or agency enquiry is logged with its contact and budget, then followed from first pitch to the first confirmed order.

  • Estimate/Quotation Management

Quotes pick prices by daypart, programme and spot length from one rate card, so two advertisers are not given different rates for a break.

  • Order Management

A confirmed order lists its spots and dates and holds them against open breaks, so airtime already sold is not offered again.

  • Contract Management

Season sponsorships hold their mentions, dates and payment terms, so the station sees how many have aired and how many remain.

  • Workflow and Approvals

A script or audio file goes to the advertiser and the programme head in order, and the spot stays out of the log until both agree.

  • Resource and Room Booking

Studios, edit suites and outside broadcast kits are booked by show and producer, and an overlapping request is flagged before it is saved.

  • Commission and Incentives

Commission for sales executives and agencies is worked out from invoices that have been paid, using the rate set on each account.

  • Collections and Payment Follow-Up

Overdue advertisers and agencies are listed by oldest balance, with a follow-up note for each call, so collections do not rely on memory.

Honest answer

When it is not the right choice.

Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your rate card

Dayparts, programmes, spot lengths and pricing rules go in as your sales team sells them now.

Break structure

Your breaks, their lengths and the rules for keeping competing brands apart are set up per programme.

Approval steps

Who approves scripts and audio, and in what order, follows your own practice.

Records migrated

Your advertiser list, orders still to air and unpaid invoices are carried over from the sheets or billing tool you use now.

Playout link

How the daily log passes to your playout system is scoped during implementation.

Currency and tax

Invoices show your local currency and the tax rules that apply in your country, and those are confirmed together while the station is being set up.

Common questions

Questions owners ask before a demo.

Does it replace the playout system?

No. It holds the order, schedule and billing record. The system that plays audio on air stays in place, and the log exchange is scoped during implementation.

How are competing brands kept apart?

Each advertiser is tagged with a category. When a spot is placed in a break, another brand from the same category already in that break is flagged.

Can quotes use daypart pricing?

Yes. The rate card holds prices by daypart, programme and spot length, and each quote picks from it. Revisions are kept beside the quote.

Can we bill from what aired?

Yes. The as-run record is compared with booked spots, and missed ones are marked for a make-good or a credit. The invoice follows that result.

Are agency commissions supported?

Yes. An order through an agency carries a commission rate, the invoice shows the net and the commission, and a statement can be raised for the agency.

Can sponsorships be tracked across a season?

Yes. A sponsorship contract lists its mentions and dates, shows how many have aired and how many remain, and holds its payment terms.

Can studios and outside broadcast kits be booked?

Yes. Studios, edit suites and kits are booked by show and producer, and a clash is flagged before the booking is saved.

Can old orders and invoices be moved over?

Yes. Advertiser names, orders still to air and invoices not yet paid are read in from your sheets, and the sales desk goes through them before the first live log.

What happens to our records if we leave?

They remain yours. The quotation spells out how orders, logs and invoices can be exported, so you know the way out before work starts.

How is it priced?

Price moves with the staff using it, the programmes you run and any connection to other systems. You first watch a demonstration built on a sample log, then receive a quotation.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
