Computers and IT · Software for iT and network companies

Keep client assets, licence renewals and maintenance-contract calls in one register.

An IT and networking company earns steady income from annual maintenance contracts (AMCs), licence renewals and support calls. All three slip between an Excel sheet and a WhatsApp group. The software we would build keeps every client’s assets, warranty dates and licence renewals in one register. It marks each contract as full cover or labour only, and logs support calls against the AMC they belong to. Renewals are quoted before they lapse.

At a glance

The steady income is not the laptop sale. It is the AMC, the Microsoft 365 renewal, the antivirus and the firewall subscription, all of which come back every year whether or not anybody remembered to quote them.

Excel loses renewals easily, so the first thing built for an IT firm is a register of assets, dates, tickets and contracts. Share your requirements, and last year’s tickets can be totalled by client, which settles most arguments about AMC pricing.

How the work runs today

A client office needs laptops, a server, CCTV, structured cabling with a rack and patch panels, or a new firewall. You quote from distributor price lists, raise a purchase order, and your engineers install and configure on site over a weekend when the office is shut. Serial numbers and licence keys go into a sheet, if anybody writes them down, and that sheet sits on one engineer’s laptop.

The client then signs an annual maintenance contract (AMC) for preventive visits and support. Calls come from the office manager on WhatsApp: the printer is offline, the Wi-Fi is slow, the accounts package will not open. Engineers move from site to site, and licence and warranty renewals arrive as last-minute emails from the distributor, often on a Friday.

Where it breaks

What goes wrong for iT and network companies without a proper system.

Renewals are caught late

The firewall subscription lapses over a weekend, and the client’s network is down on Monday. The first call of the week is an angry one.

AMC calls are not counted

One client uses three times the visits their contract covers, and no report shows it at renewal time. The pricing stays unchanged.

Serial numbers are nowhere

When a laptop returns under warranty, someone must dig through the accounting package and old emails to piece together the invoice, the serial number and the vendor’s RMA reference. The customer waits.

Engineer time disappears

The owner does not know which engineer went where or how long the call took, so the AMC rate is a guess renewed each year. Nobody knows what a client costs.

What the software does

What we would build for iT and network companies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Client asset register

Record every device, serial number, warranty end date and licence key per client site, so a warranty claim starts from the machine and not from a search.

Renewal calendar

List licences, subscriptions and warranties by due date, with the quote prepared before anything lapses and the client contacted in good time.

Support ticketing

Turn calls and WhatsApp requests into tickets against the client’s AMC, with the engineer named and the time spent recorded.

AMC usage report

Show visits and tickets used against what each contract covers, ready for the week before a renewal discussion.

Quotation and purchase order tracking

Build quotes from distributor rates, turn them into purchase orders and then invoices, with the margin visible before you send the quote.

Warranty and return tracking

Log warranty claims and return authorisation numbers against the device, and follow each replacement until it is back at the client’s desk.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, accounting reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions iT and network companies ask before they call.

Will invoices go to our ledgers?

Not through a ready connector. Hardware invoices, AMC bills and renewals, with the tax number and product or service code, can go out as an export we add at set-up, priced apart.

Does it monitor client machines remotely?

No, keep your remote monitoring tool for that. The system we build holds the asset register, contracts, renewals and tickets. An alert from that tool can be set up to open a ticket here.

Can clients raise tickets on WhatsApp?

Yes, through a WhatsApp Business link built with the system. A message would create a ticket, and the client gets one update when it closes. Some office managers will still ring an engineer directly.

Can you host it for us?

Yes. We host and support it on a cloud server, or install it on yours if you prefer to keep it in the office.

What moves the IT services system quotation?

Whether the asset register, the renewal calendar or AMC usage goes live first, that fixes the base. Staff logins add to engineers and clients. Distributor quote links can add effort. The asset register can be dropped.

Gathering for the IT services system: what first?

Bring an asset sheet, renewal dates, an AMC contract and purchase order copies. Contacts from a service lead, an engineer and purchasing are needed. Samples of renewal dates help most.

Who owns the asset registers after we stop?

Renewal dates and AMC tickets stay with the IT firm, as does the source code behind asset registers. Plain-file exports cover asset registers, renewal dates and AMC tickets. Support for renewal dates continues with the team.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.

What happens after you share your requirements

  1. A senior engineer reads your answers. Nobody phones first.
  2. Within one business day you get a written note: what we understood, what we would start with, and the questions we still have.
  3. If it fits, a proposal follows with the order of work, what we need from you and what you receive at each step.
  4. No call is booked and nothing is paid until you have read the note. Your details stay with us.
