Computers and IT · Software for software development companies

Connect each project’s hours, scope changes and invoices to the people who worked on it.

A software development company sells people’s time against a statement of work, and the facts behind each invoice sit in the tracker, the timesheet and the founder’s head. The software we would build holds every project’s scope, rate and team in one record. It counts billable hours against the plan, logs change requests, shows the bench, and shows margin by project before the month closes.

At a glance

Your product is delivery. Revenue depends on how many hours of which person reach an invoice, and on how much extra work the client asked for that never reached a bill.

A project register built around your own contract types is the base. Fixed bid, time and material, and retainer projects each get their own billing rule, so a report is not rebuilt in Excel every month-end.

How the work runs today

A client signs a statement of work, and the delivery head staffs a team from whoever is free. Developers, testers and a designer log their time in a tracker. Sprints run, builds go to staging, and the client reviews on a call. Work promised in the SOW is clear. Work asked for on Slack or in a stand-up is murkier, and it is built first and discussed later.

At month-end an account manager collects hours from the tracker, matches them to the rate card, and sends the invoice. Fixed-bid projects are billed on milestones that need a client sign-off. Between projects, people wait on the bench, and nobody can say which skills will be free next month.

Access has to be kept tidy as well. Repositories, cloud accounts and client VPNs are opened at joining and have to be closed at exit.

Where it breaks

What goes wrong for software development companies without a proper system.

Scope changes are never billed

A client asks for one more screen in a call, and the team builds it. The invoice does not change.

Hours and invoices disagree

The tracker says one total, the timesheet another, and the invoice a third. Somebody reconciles them by hand.

Nobody sees the bench early

A project ends and four people are idle before sales knows. Allocation lives in a sheet.

Fixed-bid margin is a surprise

A project estimated at one effort burns far more, and the founder finds out at the final milestone. The loss is already booked.

Access outlives the employee

A developer leaves, and his repository and client logins stay open. Nobody owns the exit list.

What the software does

What we would build for software development companies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Project and SOW register

Record each client, the contract type, the rate card, the milestones and the team, so every project shows what was sold before any hour is logged against it.

Timesheets against the plan

Log hours by person, project and task, with billable and non-billable kept apart and the burn shown against the estimate as the project runs.

Allocation and bench view

Show who is on which project, at what share of the day, and who frees up when, so sales can quote with the real capacity in view.

Change request log

Capture each extra ask with its effort estimate and the client’s approval, so out-of-scope work becomes a priced line instead of a favour.

Milestone and T&M invoicing

Raise invoices from approved hours or completed milestones, with the GST invoice following each client’s billing cycle and currency.

Project margin report

Set revenue against the cost of the people who worked on it, by project and by month, before the books are closed.

Joining and exit access checklist

List the repositories, cloud accounts and client systems each person holds, and tick them off on the day they leave.

Solutions inside

The business modules software development companies use most.

Each one is also available on its own, or inside a system built for you.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions software development companies ask before they call.

Can it pull hours from Jira, Linear or our own tracker?

Yes, where the tracker exposes an API. The connection is scoped per tool during implementation. Some teams keep the tracker for tasks and let this system hold only hours, contracts and invoices.

Will it post invoices to Tally?

Nothing connects to Tally directly. A file of invoices and receipts for your accountant is separate, priced work added at set-up. Many firms invoice from here and let the accountant import the file.

Is this a project management tool like Jira?

No. Keep your task tracker for sprints and tickets. This holds the commercial side: contracts, hours, change requests, allocation, invoices and margin.

Can it handle invoices in dollars or pounds?

Yes, a client can be set up with a billing currency and a rate card in it. How the foreign receipt is recorded in your books is a question for your accountant.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
