A cloud or hosting provider sells virtual machines, storage, backup and managed plans, and the usage figures live in one panel while invoices are made in another. The software we would build holds each customer, plan, resource and usage reading together. It prices metered use and fixed plans into one invoice, logs tickets against the customer’s service, and keeps outage credits visible before the renewal call.

At a glance

A hosting or cloud business sells many small things to one customer: virtual servers, disk, bandwidth, backup, a firewall, a licence, and a support plan. Each is counted differently, and the invoice has to add them up.

Control panels and billing tools handle part of this. What they rarely hold is the customer’s whole account in one place, so a custom layer is built around the panels you already run.

How the work runs today

A customer signs up for a plan, and the team provisions a server, opens the ports, adds backup and sends the login. The details go into a sheet or a ticket, and later nobody can say which plan a particular server was sold under.

At month end, usage is exported from the panel or the hypervisor, rates are applied by hand, and invoices go out from the accounts package. Credits for an outage are agreed on a call and applied to the next bill, if someone remembers.

Support tickets arrive by email, phone and chat. Renewals of annual plans, licences and domains come due on different dates, and an unpaid account is suspended by whoever notices first.

Usage and invoice never match

Metered readings are copied from the panel into a sheet before billing, and a missed server is never charged. Revenue slips out unseen.

Plans are sold, not recorded

A custom quote with extra disk and a lower rate lives in an email thread, and the invoice follows the standard rate card. The customer disputes it.

Outage credits are guesswork

The service level promised in a contract is not tied to the incident log. Credits are argued from memory.

Suspension depends on who notices

An overdue account keeps running for weeks, or a paid one is switched off by mistake. Neither is good.

Resale licences lapse unseen

Licences bought from a vendor and resold to customers renew on the vendor’s date. The customer finds out when the software stops.

Tickets and incident log

Open tickets against the customer’s service, record outages with start and end times, and link both to the contract’s service level.

Service credits

Calculate the credit a customer is owed from the recorded outage and the contract terms, and show it on the next invoice for approval.

Renewals and suspensions

List plans, domains and resale licences by due date, and mark accounts for reminder, grace or suspension by a rule you set, with a name against each action.

Questions cloud service providers ask before they call.

Does this replace our control panel or hypervisor?

No. Provisioning stays where it is. The system we build reads usage from your platform and holds the customer, plan, invoice and ticket records around it.

Can it bill from live usage?

It can bill from readings imported on a schedule, such as daily. A live per-minute meter depends on what your platform exposes, so it is quoted as its own piece of work.

Will invoices go into Tally?

Not directly. A file export for your accountant can be added at set-up, as separate priced work.

Can customers see their own usage?

Yes, through a login that shows their plan, usage so far, invoices and tickets. What appears there is set with you before it goes live.

What happens in the free technology audit?
