Computers and IT · Software for saaS companies

See every subscription, renewal, failed payment and support request in one customer record.

A SaaS company sells by subscription, and the facts about one customer sit in the payment gateway, the support inbox, the product database and a founder’s spreadsheet. The back-office software we would build keeps plan, seats, renewal date, payments, tickets and usage on a single account record. It also reports monthly recurring revenue and churn from that record, so the numbers match.

At a glance

Your product ships code, and the business runs on accounts. Each customer is on a plan, has a renewal date, pays through a gateway and writes to support, and those facts live in different tools.

A back office around your own plans and billing rules gives the founder one customer list. It does not replace the product or the payment gateway; it joins them to the records the team actually works from.

How the work runs today

A visitor signs up for a trial, uses the product for some days, and either talks to sales or pays by card or UPI mandate. Plans have seat counts, add-ons and annual or monthly cycles. Upgrades and downgrades happen mid-cycle, and the invoice has to reflect them.

Payments fail for ordinary reasons: expired cards, mandate limits, a bank that declines. Support receives a mix of how-to questions, bug reports and feature requests on email and chat. Engineers triage from a board, and customer success tries to guess who may cancel.

Each month the founder asks for recurring revenue and churn, and finance builds the answer from exports and a customer sheet.

Where it breaks

What goes wrong for saaS companies without a proper system.

Revenue numbers do not match

The gateway, the invoice list and the sheet each show a different monthly total. Nobody trusts the report.

Failed payments go unchased

A card expires, the retry fails, and the account is live for weeks without paying. Collections stay manual.

Trials end without a follow-up

A team that used the product daily lapses on day fourteen because nobody called. The lead is lost.

Churn has no recorded reason

Customers cancel, and the cause lives in an email thread. Product never sees a pattern.

Support and bugs share one inbox

A defect reported by three customers reaches engineering as three separate emails. Priority is a guess.

What the software does

What we would build for saaS companies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Customer and subscription register

Hold each account with its plan, seat count, add-ons, billing cycle and renewal date, so the list the team works from is the list finance bills from.

Trial and onboarding tracker

Show who started a trial, what they have used and who has been contacted, with a follow-up due before the trial ends.

MRR and churn report

Total recurring revenue by plan, new, expansion, contraction and cancelled accounts, built from the subscription register instead of a hand-made sheet.

Failed payment and renewal list

List accounts whose payment failed or whose renewal is near, with the contact, the last attempt and the follow-up that is due.

Support and bug triage

Log each request against the account, tag it as a question, a defect or a feature ask, and group repeats so engineering sees how many customers each one touches.

Account health view

Bring login activity, open tickets and payment status onto one page per customer, so success calls start from facts.

Internal admin console

Let support extend a trial, change a plan or pause an account from a screen with its own access rules and a log of each change.

Solutions inside

The business modules saaS companies use most.

Each one is also available on its own, or inside a system built for you.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions saaS companies ask before they call.

Does it replace Razorpay, Stripe or our billing tool?

No. The gateway still collects the money. The back office reads payments and subscription events from it, using the gateway’s API, so the account record shows what was paid and what failed.

Can it show monthly recurring revenue?

Yes, from the subscription register, split by plan and by new, expansion and cancelled accounts. The rules for counting annual plans and discounts are agreed with you when it is set up.

Will it also build our SaaS product?

Not on its own. This back office is separate from your product. If you want help with the product itself, that falls under our SaaS product development service, scoped separately.

Can it send invoices into Tally?

Tally is not connected directly. A file of invoices for your accountant is possible as separate, priced work, and you can decide the ledger names with the accountant first.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
