One record for each tenant, plan, resource, usage reading and invoice.

Manage tenants, plans, rate cards, provisioned resources, usage readings, invoices, support tickets, outage credits and renewals in one system. Each customer account lists what was sold, what was metered and what was billed. Sales sees the contract, support sees the services behind a ticket, and finance raises a single invoice that joins fixed plan lines to metered use. Your control panel and hypervisor keep doing the provisioning.

  • Plans, rate cards and negotiated prices keyed in as you sell them
  • Tenant list, open plans and unpaid invoices migrated
  • Usage connectors built for the platforms you run

Tenant accounts, plan pricing, usage billing, tickets and renewals for cloud and hosting providers run on Cloud Service Provider Management Software, configured by GullySystem. Each tenant holds its plan, resources, usage readings, service level and invoices. Outage credits come from the incident log. Domains, licences and annual plans are listed by due date.

Where it breaks today

What goes wrong before the software.

Metered use is copied by hand

Before every billing run, a staff member exports virtual machine hours, storage and bandwidth from the control panel and pastes the figures into a workbook. A server added mid-month falls out of the sheet and is never charged.

Negotiated prices live in email

A tenant agreed extra disk at a lower rate, and the thread sits in a salesperson’s inbox. The invoice follows the public rate card and the tenant complains.

Service credits are argued from memory

The contract promises an availability level, but the incident log is in the ticket tool and the contract is in a folder. Credits are agreed on a call.

A tenant’s services are scattered

Servers sit in the hypervisor, domains with a registrar, licences with a vendor and backup in a third console. Nobody can list everything one tenant is paying for.

Suspension follows whoever notices

An overdue tenant keeps running for weeks, while a tenant that paid is switched off by an automated script. Both create a support call.

Resale renewals arrive late

Licences and domains bought for tenants renew on the supplier’s date. The tenant learns of the lapse when the service stops.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry and quotation

Sales logs the prospect, the workloads they plan to move and the quantities asked for. The quote draws on plans and rate cards, and each negotiated discount appears as its own visible line so a customer can see exactly what was agreed.

  2. 2

    Contract and tenant set-up

An accepted quotation becomes a contract with a plan, a term and a service level. A tenant record is created and linked to the contract and the billing contact.

  3. 3

    Provisioning record

The engineers build servers, storage and networks in the platform. Each resource is entered or imported against the tenant with its size, region and start date.

  4. 4

    Metering

Usage readings arrive from the platform on a schedule. They are compared with plan quantities, and unusual jumps are listed before an invoice is drafted.

  5. 5

    Invoice and collection

Finance raises one invoice per tenant with fixed plan lines, metered use and any service credit. Payments, reminders and grace periods follow the same account.

  6. 6

    Support and renewal

Tickets and incidents attach to the tenant’s services. Annual plans, domains and licences are listed by due date, with a named owner for each renewal.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Tenant and contract records

Hold each tenant with contacts, contract, billing terms and every service sold, so one search shows the whole account and the account manager.

Plans and rate cards

Define fixed plans, metered units, minimum commitments, tiers and tenant-specific prices. The agreed rate is the one the invoice picks up.

Resource inventory

List virtual machines, storage volumes, IP addresses, firewalls and backup jobs by tenant, with size, region, start date and the plan each belongs to.

Usage import and metering

Read usage from your panel, hypervisor or billing export on a schedule and show it against plan quantities. A connector is built for each platform.

Invoicing and tax

Raise one invoice for each tenant with fixed and metered lines in the tenant’s currency, and apply sales tax or VAT by country, checked on a sample bill.

Dues and suspension rules

Run reminder, grace and suspension steps from rules you set, record who acted and when, and lift a suspension as soon as the payment is posted.

Tickets and incident log

Open tickets against a tenant’s service, and record outages with start and end times, affected nodes and the tenants touched.

Service credits

Work out the credit owed from the outage window and the contract’s service level, and place it on the next invoice for approval.

Resale licences and domains

List vendor licences, certificates and domains resold to tenants with supplier cost, tenant price and renewal date.

Tenant portal

Give each tenant a login showing plan, usage to date, invoices, open tickets and downloadable statements.

Margin by plan and tenant

Set supplier and hardware cost against billed amounts, and list the plans and tenants where billing falls short of cost.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Subscription Billing

Fixed plans, metered units and tenant-specific prices are defined once, and each billing cycle picks up the quantity and rate that apply.

  • Invoice Management

One invoice per tenant joins fixed plan lines, metered use and credits, numbered and taxed according to the tenant’s country.

  • Ticket Management

A ticket opens against a named service, so support sees the tenant’s plan and recent outages before replying.

  • Contract Management

Each tenant holds its contract term, service level and renewal date, and the invoice and credit rules read from them.

  • Collections and Payment Follow-Up

Overdue tenants move through reminder, grace and suspension steps, each with a date and an owner recorded on the account.

  • Client Portal

Tenants log in to see plan, usage to date, invoices and open tickets, without writing to the support desk first.

  • Multi-Currency Support

Tenants in different countries are invoiced in their own currency, with the exchange rate and tax lines held on the invoice.

  • Audit Trail

Every credit shows who calculated it, who approved it and which outage record it came from.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For owners and directors

Read recurring revenue by plan, margin by tenant and overdue dues without waiting for a month-end sheet.

For sales and account managers

Build quotations from rate cards, hold contract terms and see which renewals fall in the coming quarter.

For engineers and operations

Record resources and outages against tenants, and see which tenants an affected node carries.

For support

Open tickets against a service and see the tenant’s plan, service level and recent incidents beside the message.

For finance

Check usage, approve credits, raise invoices and follow collection from one tenant account.

Reports

The numbers the owner asks for.

  • Recurring revenue by plan and tenant
  • Usage against plan quantity with overage lines
  • Outages and credits issued by month
  • Overdue dues with grace and suspension status
  • Renewals due by month for plans, domains and licences
  • Margin by plan after supplier and hardware cost
Good fit

Who this is built for.

  • Hosting and virtual server providers selling plans to small businesses
  • Private cloud operators serving a few large tenants
  • Managed backup and disaster recovery providers
  • Resellers of public cloud capacity and software licences
  • Colocation and managed hosting businesses with service levels in their contracts
Honest answer

When it is not the right choice.

  • A freelancer who hosts a few client websites on one server can bill from a spreadsheet.
  • Companies that want a control panel to provision servers need that panel itself, and this software sits beside it. Data Centre Operator Management Software is closer for facility work.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Plans and units

Your plan names, metered units, tiers and minimum commitments are keyed in as you sell them today.

Usage sources

Connectors are built for the panel, hypervisor or billing export you run, and tested against a month of real readings.

Service levels

Uptime targets and the credit formula come straight from your signed contracts, and your legal adviser checks them against the entries.

Suspension policy

Reminder days, grace periods and who may approve a suspension follow your terms of service.

Currency and tax

Every country served adds its own invoice currency, tax lines and number series, entered once and checked by your finance staff on a sample invoice.

Common questions

Questions owners ask before a demo.

Does it replace our control panel?

No. Servers continue to be built where they are built today. This system reads usage from that platform and holds the tenant, plan, invoice and ticket records around it.

How often is usage brought in?

Daily, or on any other schedule you choose. A per-minute meter depends on what your platform exposes, so it is scoped as a separate item.

Can two tenants have different prices for the same unit?

Yes. A rate card holds the public price, and a tenant can carry its own rate for a unit. The invoice uses the tenant’s rate when one is set.

How is a service credit calculated?

From the outage window in the incident log and the availability terms in the contract. The figure is shown to a manager for approval before it reaches an invoice.

Can we sell licences and domains through it?

Yes. Each resale item records supplier cost, tenant price, renewal date and the person responsible, and it appears on the tenant’s invoice.

Can a tenant see their own usage?

A portal login can show plan, usage to date, invoices and tickets. You choose which of these panels a tenant sees before the portal opens.

What if we run two platforms?

Each platform gets its own usage connector, and both feed the same tenant record. One invoice then covers resources from both.

Who maintains rate cards after go-live?

Your own staff can change plans and prices. For structural changes, such as a new metered unit, GullySystem staff make the edit on request.

What sets the cost of the system?

There is no published price. Platforms to connect, plan structures and the portal you want shape the figure, which is written out after a demo.

How do we get tenant and invoice history out?

Your tenant list, plan history, usage readings and invoices export to spreadsheet files on request, in a layout fixed before the work starts.
