Put the money and the time for each job on one page, while the job is running.

Project reports put the money and the time on one page for each job: quoted against spent, hours booked, material issued, and stages late with the reason. They are built while the project is running and not after it closes. The job that is quietly going wrong can then be caught in week six and not at the audit.

What it is

Ask most owners which of their running jobs is profitable and the honest answer is that they will know later. Material was bought for three sites on one bill. Labour moved between two of them. The client for the fourth has still not paid for a variation he asked for in writing.

Costs are tagged to the job that caused them as they happen: hours, material, subcontractor bills and site expenses. The report is then arithmetic and not reconstruction. It is usually the third or fourth job that surprises the owner, and not the one he was worried about.

Inside the module

What project management reports does.

Quoted against spent

The value sold, the cost booked so far, and what is left to spend before the job is handed over.

Where the cost went

Hours, material, outside work and site expenses, each traceable back to the bill or the time sheet behind it.

Stages late, and why

Delays against the plan, with the reason recorded at the time and not invented at the review meeting.

Billed and collected per job

Stage bills raised, money received and retention held. A profitable project with no collection is still a problem.

Jobs crossing their budget

A short exception list. Five jobs out of forty, with the amount by which each has gone over.

One client, everything

Every job for a builder or a client group on one page, which is the view you want before renegotiating a rate.

Who touches it

The people who open this every day.

Project manager

Watches his own jobs and explains the ones on the exception list.

Accounts

Checks that costs landed on the right job before the month is closed.

Owner

Reads two lists: jobs over budget, and money not collected.

How it fits

It is one part of a system, not an island.

A module earns its place by what it passes to the next one. These are the connections we set up most often.

  • Project time tracking
  • Expense tracking
  • Invoice management
  • Project timelines with Gantt charts
  • Dashboards and KPIs
Common questions

Questions owners ask about project management reports.

Why have this when our CA gives us a profit figure?

His statement covers the whole firm and arrives after the year has closed. This covers one job while it is still running, which is the only time anybody can act on it.

Is Excel enough for five projects a year?

Yes, if one person knows every job. A sheet updated on Sunday will serve you. This matters when several managers run jobs and nobody sees all of them together.

Where does the cost figure come from?

From entries your team already makes: time sheets, purchase bills, site expenses and subcontractor invoices, each tagged to a job. Our landscaping system reports project profit and crew cost the same way.

Can it show a variation the client never approved?

It can show that one was recorded and not billed, which is usually the more painful figure. Whether the client pays is still a conversation somebody has to have.
