Manufacturing · Software for commercial furniture manufacturers

Manage office, hotel and institutional furniture projects from shop drawing to the last defect.

Commercial furniture is sold by project, whether a floor of workstations, a hotel’s guest rooms, a boardroom or a hospital ward. The software holds the bill of quantities, approved shop drawings and finish samples, production by item, fabric lots, phased delivery and installation. Defects stay with the project.

At a glance

A commercial order is a project, not a product: workstations, conference tables and reception counters, each with a drawing, a laminate finish and a quantity per floor. Delivery is phased to the fit-out programme. Items change after first approval.

The software keeps one project record from quotation to defect clearance, tying each line to its approved drawing and sample, then to production, fabric lot and delivery. Bring one floor of a live project and we will lay it out line by line, down to the last castor.

How the work runs today

The sales engineer prices the project from a bill of quantities, then submits shop drawings and finish samples for the client’s consultant to approve. Nothing is cut yet. Once approved, each item is released with its revision. Metal frames are cut, welded and powder coated, panels are cut and edge-banded, and upholstery is cut from fabric rolls against a recorded lot and colour. Foam is matched to the seat specification on the cutting sheet.

Chairs, desks and tables are assembled, checked against the approved sample, and packed by floor and zone. Deliveries follow the contractor’s programme, and installers fit workstations on site. A snag list then records scratched tops, wrong laminate shades and missing castors. The factory clears each item within the defects period the contract sets.

Where it breaks

What goes wrong for commercial furniture manufacturers without a proper system.

Approved samples and drawings drift

A consultant approves a laminate and a chair fabric in an email, the factory later builds against a different sample, and the client rejects a whole floor on arrival. Rework eats the margin.

Fabric lots do not match

Upholstery fabric arrives in rolls from different dye lots, and nobody notes which roll covered which chair, so two chairs in one room do not match. Clients notice at once.

Phased delivery is tracked on paper

A project ships by floor and zone as the fit-out progresses, and the sheet showing what has gone and what remains is updated once a week. A zone waits for one missing item.

Variations are agreed by phone

The client adds forty workstations or swaps a finish halfway through, and the change is neither priced nor recorded, so the final bill meets resistance. Memory is the only record.

Defects have no history

After handover the client lists scratched tops and loose castors, and the factory cannot tell which batch, which assembler or which installer was behind them. The same fault repeats.

What the software does

What we would build for commercial furniture manufacturers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Project quotation from bill of quantities

Price each item line by quantity, finish and fabric grade, keep every revision, and link the final figure to the approved version of the bill of quantities. Old versions stay readable.

Shop drawings and sample approvals

Hold shop drawings, finish samples and approval emails against the item line, with the approving party, the revision and the date. Disputes end at the record.

Production by item and floor

Release approved items to production, follow frames, panels and upholstery through cutting, welding, powder coating and assembly, and show what is ready per zone. Ready stock is visible by floor.

Fabric and foam lots

Record fabric rolls and foam blocks by lot and colour, and tie them to the chairs and sofas upholstered from them. Mismatches trace back to a roll.

Phased delivery schedule

Plan deliveries by floor and zone, record what shipped and what remains, and attach the signed delivery note to each zone’s balance. Closed zones are marked.

Installation and variations

Assign installers by zone, record approved variations with price and date, and add them to the project value. Unapproved changes stay out of production.

Defects and handover

Log defects with photographs, assign each to a named person, and close it with a date, then issue the handover note once every defect is cleared. The defects period runs from handover.

Common questions

Questions commercial furniture manufacturers ask before they call.

Can items be built to sample approvals?

Yes. The approved sample photographs, finish codes and the approver’s name are attached to the item line, and a production batch is compared against them at final check. Nothing is built from memory.

Does it handle variations on a running project?

Yes. A variation carries a description, a quantity and a price, and it needs approval before it joins the project value. Production sees only approved variations.

Can several floors be delivered separately?

Yes. Each floor or zone has its own delivery lines, signatures and balances, and a zone is closed only when every line is delivered and signed. Partial zones stay open.

Is the defects period tracked?

Yes. The contract’s defects period and handover date are held on the project, and each defect is dated, assigned and closed under the name of whoever cleared it. The clock is visible.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
