Manufacturing · Software for water treatment companies

Follow each treatment plant from survey to installation, service visit and refill.

Water treatment software holds each site as one record. The record carries the water test, the plant installed, its filters, membranes and dosing chemicals, and the service contract that covers it. Technicians are scheduled against due dates, and consumables are issued against the visit. The office sees which plants are due and which contracts are about to lapse.

At a glance

A water treatment company sells a result that depends on upkeep. A softener, a reverse osmosis plant or a dosing system is installed once, then needs media, membranes, cartridges and chemicals on a schedule for years. The sale is the start of the relationship. Upkeep is the business.

Most firms keep the plant list in a spreadsheet, test reports in a folder and service dates in a technician’s head. The software ties these to one record per site, so the next visit is planned from what was installed and what has been used.

How the work runs today

An enquiry comes from a factory, a hotel, a housing complex or a homeowner. A surveyor collects a water sample, notes the source, the flow needed and the space available, and sends the sample for analysis. The quotation names the plant, its capacity, the pre-treatment and the commissioning cost, priced from current supplier rates.

After approval the team orders equipment, pipes and fittings, and installs and commissions the plant. Outlet readings are recorded on handover. A contract may then cover scheduled visits for filter changes, membrane cleaning, resin regeneration and dosing refills.

Technicians visit in a route, take readings, replace parts and log what they used. A larger site may buy chemicals on a standing order that must arrive before the dosing tank runs dry. A failed reading starts a callout. Records decide who pays.

Where it breaks

What goes wrong for water treatment companies without a proper system.

Plant details are scattered

Capacity, model, serial numbers and commissioning date sit in different files. A technician arrives at a site without knowing which membrane or media the plant uses.

Service dates are missed

Filters and membranes are changed on a calendar that lives in memory. A visit that slips shows up as poor water quality and an unhappy customer.

Test readings are not kept in order

Inlet and outlet readings are written on a service slip. Nobody can chart a site’s trend or show a customer how the plant has performed.

Consumables are not tied to sites

Cartridges, chemicals and spare parts leave the store without a site name against them. Stock runs short, and billing for parts used under contract is incomplete.

Contracts lapse quietly

Renewal dates are checked occasionally. A contract ends, the visits stop, and the customer finds out when the plant fails.

What the software does

What we would build for water treatment companies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Site survey and water analysis

Log each enquiry, the sample taken and the lab result, with source, flow and space notes, so the plant is sized from recorded figures.

Quotations by plant

Build quotations from your own price list for equipment, pre-treatment, installation and commissioning, with revisions kept beside the original.

Installation jobs and commissioning

Run each installation as a job with materials, crew and checks, and record the model, serial numbers and first outlet readings at handover.

Service contracts and visit calendar

Hold each contract with its scope, visit count and renewal date, and schedule technicians against the filter, membrane and dosing tasks that fall due.

Readings and service reports

Capture inlet and outlet readings and parts replaced on each visit, and give the customer a signed report with a record of past readings.

Spares, media and chemical stock

Count cartridges, membranes, resin and chemicals by store and van, and charge each item issued to the site and visit it was used on.

Invoices and renewals

Bill installations in stages, contracts by period and parts used outside cover, and list contracts due for renewal with the customer’s balance.

Common questions

Questions water treatment companies ask before they call.

Does it suit a company that sells plants and chemicals?

Yes. One business can install plant, hold service contracts and deliver repeat chemicals together. Stock is shared, and each sale is traced to the customer and site.

Can it store lab reports and test readings?

Yes. Reports attach to the site as files, and the readings you enter on each visit build a history for that plant. Which parameters you track is your choice.

Can it read sensors on the plant?

Not out of the box. Connecting flow, pressure or conductivity sensors is possible as a separate integration, scoped and quoted after a review of the equipment.

Does it deal with water quality regulation?

No. It records what you measure and do. What your customers or regulator require is decided by you and your advisers, and reports can be set up to suit.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
