Manufacturing · Software for specialty chemical manufacturers

Carry a formulation from laboratory trial to pilot batch to customer lot without losing a version.

A specialty chemical company sells performance, not volume: a coating additive, a surfactant, a dye or a process aid made in small batches to a customer’s need. The specialty chemical software keeps each formulation in versions, links trials to scale-up batches, and prints a certificate of analysis and technical data sheet with every shipment. Registration records stay beside the product.

At a glance

Specialty chemicals are sold on what they do. One buyer wants a dispersant that keeps a pigment from settling. Another wants an additive that shortens a cure. The recipe behind that behaviour is the company’s real asset. Lose it and the product is gone.

That asset is rarely held in one place. The laboratory has its own notebook of trials. Pilot batches are written on a separate sheet in the plant. Approvals from buyers sit in email, scattered across the inboxes of the technical team, the sales desk and the plant manager, with no common label. A technical data sheet is a Word file that has been copied so often that no one is sure which version is current. A reorder forces the company to rebuild the history from fragments, and a small drift in raw material can change the result.

How the work runs today

Buyers describe a problem, and the technical team proposes a formulation. The chemist makes laboratory trials, tests viscosity, pH, solids and performance in the customer’s application, and records each variant. Samples go out. Each has a trial number. When the customer approves, the recipe is scaled to a pilot reactor and then to production, with raw materials, charge order and process steps written into a master batch record.

Production charges raw materials into the kettle, mixes, heats or cools, and takes in-process samples. Finished product is filtered and filled into pails, drums or small containers with a batch label. The label carries the lot code, grade name, fill weight and date, so a container can be found again later. The laboratory issues a certificate of analysis for each batch, and the sales team sends it with the technical data sheet. Small orders are the norm. Regulatory registration records for each raw material and product are kept for the customers who ask for them.

Where it breaks

What goes wrong for specialty chemical manufacturers without a proper system.

Trials and production recipes are disconnected

A chemist’s notebook holds the winning variant. The production master record is retyped by a supervisor, and a transcription slip changes the product.

Raw material variation passes unseen

A surfactant lot arrives from a new supplier. Its activity is slightly different. Nobody notes it.

Small orders cost more than they should

Short runs need cleaning, set-up and testing before a single pail is filled. The quote is based on the large-batch cost, so the margin disappears and nobody sees it happen until the month is closed.

Technical data sheets multiply

Copies circulate. A buyer receives one with outdated limits, and a rejected lot follows a few weeks later.

Registration status is scattered

Which raw materials are registered for which country is known by one regulatory person. It is not on the product record, so a quote for a new market waits for that person.

What the software does

What we would build for specialty chemical manufacturers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Laboratory trials and formulations

Record each trial with its recipe, test results and customer feedback, and promote the approved one to a formulation version.

Scale-up and pilot batches

Link a trial to its pilot batch and then to every production batch that follows it, and compare viscosity, solids and performance results at each scale so that a drift appears early.

Master batch records

Hold the process steps, charge order, temperatures and hold times for each product, and record the actuals against them. A supervisor no longer retypes anything.

Raw material lots and substitutions

Record every raw lot used and any approved substitution, with the activity or assay of each lot.

Batch quality results

Save viscosity, pH, solids and customer parameters per batch, with the limits for that product.

Certificates and data sheets

Issue the certificate from batch results and attach the controlled technical data sheet version.

Registration and customer records

Keep registration references and customer-specific requirements alongside each product, as your regulatory staff define them.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, accounting reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions specialty chemical manufacturers ask before they call.

Can a laboratory trial be turned into a production recipe?

Yes. The approved trial is promoted to a formulation version, and the production master record is built from that version. Nobody retypes a chemist’s notebook.

Does it hold regulatory registrations?

It stores the references and documents your regulatory staff provide, against each product and raw material. It does not decide whether a product may be sold somewhere.

Can we handle many small orders?

Yes. Short runs carry their own set-up, cleaning and testing cost on the batch record, so a quote for a single pail reflects what that pail really took to make.

How is the technical data sheet controlled?

Each sheet is a versioned document on the product. Sales can send only the current version, and earlier ones are kept for reference.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
