Manufacturing · Software for industrial repair companies

Follow each repaired motor, pump or gearbox from receipt to inspection, quote and return.

Industrial repair companies take in electric motors, pumps, gearboxes, hydraulic cylinders and compressors from factories and plants, then inspect, quote, repair, test and return them. The software gives each item a job number and holds its condition on arrival, the teardown findings, the approved quote, the parts used, the test results and the invoice.

At a glance

A plant sends in a failed gearbox because a line is down. The workshop needs to know what arrived, what is wrong, what it will cost and who agreed to pay, and the customer wants a date. Each answer sits with a different person.

Repair software for industrial workshops gives every item one job record. Stores receive and tag it. Inspectors write the findings. Estimators price the work, and technicians record the repair and test. Dispatch returns it, and accounts invoice against the approved figure.

How the work runs today

Customers are factories, mines, utilities, shipyards, mills and contractors. Items arrive by courier, truck or customer pickup, with a gate pass or a purchase order. The receiving clerk records the make, model, serial number, nameplate data and condition, and photographs damage. An inspector strips the unit, measures wear and writes a teardown report that lists each part to replace, each part to repair and the likely cause of the failure.

The estimator prices parts, labour and machining from the findings, and the customer approves, queries or scraps the item. Repairs may involve rewinding, bearing and seal replacement, shaft machining, balancing, hydraulic seal kits or welding. Work that needs another shop goes out as job work. After repair the unit is tested on a bench and the readings are recorded. Some customers want a certificate with the figures. Dispatch packs and returns it, and accounts invoice. Field callouts add a second kind of job, repairs done on the customer’s site with a technician and a van.

Where it breaks

What goes wrong for industrial repair companies without a proper system.

Incoming items lose their identity

Several motors of the same make arrive from one plant on one day. Without a tag and a record at the gate, parts and reports are attached to the wrong unit.

Quotes wait on teardown findings

The inspector writes a report on paper and the estimator rewrites it into a quotation. The customer waits, and the machine stays down.

Approval is verbal

A customer says go ahead on a call. When the invoice arrives, the figure is questioned and nobody can show what was agreed.

Parts and machining are not charged to the job

Bearings, seal kits and wire are taken from stores. Outside machining is paid by the owner. Job cost is worked out at the end, if at all.

Test results are not kept with the unit

A repaired pump goes back and returns with a complaint. The bench readings are in a notebook that nobody can find.

What the software does

What we would build for industrial repair companies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Receiving and job tagging

Book in each item with its nameplate data, condition and photographs, tag it and give it a job number the customer can quote.

Teardown reports and quotations

Record inspection findings part by part, price the repair from them, and keep each revision of the quotation.

Customer approvals

Mark who approved a quotation and when, so work starts only on an agreed figure and the invoice can be traced to it.

Repair stages and technician work

Move each job through strip, repair, machining, assembly and test, and see which bay and which technician hold it.

Parts, stores and outside work

Issue bearings, seals and windings to jobs, order what is short, and send machining or rewinding to outside shops as tracked job work.

Test records and certificates

Store bench test readings against the unit and issue a test certificate with the figures the customer asks for.

Dispatch, field calls and invoices

Return the repaired unit, schedule technicians for site repairs, and invoice against the approved quotation.

Common questions

Questions industrial repair companies ask before they call.

Can we record nameplate data and photographs on arrival?

Yes. The clerk enters make, model, serial number and ratings from the plate, adds photographs of visible damage and prints a tag. The same record is used through to dispatch.

Does it handle repairs that need an outside machine shop?

Yes. The item or part is issued to a vendor as job work with a return date, and its receipt is recorded when it comes back. The vendor’s charge is added to the job cost.

Can customers see where their motor is?

A status can be shared by message or email as the job moves through stages. A customer login is possible and is scoped during implementation.

Does it suit a workshop that also does repairs on site?

Yes. A site call is a job with a technician, a vehicle and parts, billed by visit or by agreed figure, and it sits beside bench jobs on the same board.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
