Manufacturing · Software for stationery manufacturers

Follow every notebook, ball pen and file from paper reel and ink lot to dealer carton.

A stationery plant turns paper reels, duplex board, polypropylene barrels and ink into notebooks, ball pens, lever arch files and boxed sets. The stationery manufacturer software records reel and sheet usage, ruling and cover printing runs, stitching and binding counts and pen assembly. Carton packing, dealer orders and school season stock sit beside them.

At a glance

Stationery runs on volume and variety. One notebook may come in six covers, three page counts and two rulings, while a ball pen has four barrel colours and three tip sizes. Stock lines multiply fast. The dealer wants every one before the school term opens, and each missing variant is an empty shelf.

Production software for stationery makers ties paper reels, sheet cutting, ruling, cover printing, stitching or binding and carton packing into one record. Share your requirements to start.

How the work runs today

The planner starts from dealer orders and school forecasts. Notebook lines draw paper reels, which are cut to sheet size, ruled on the ruling machine, folded, gathered and stitched or glued under a printed cover. Wastage is measured in reams and in sheets per reel, and it differs between a thin ruled book and a thick drawing pad. Pen lines take barrels, caps, refills, ink and clips from the store, and assembly benches turn them into counted packs of ten or twenty. Covers are printed in batches by artwork code, and each change of plate means a changeover.

The floor records reels loaded, sheets cut, books bound, pens assembled and ink filled. Quality staff check ruling alignment, cover registration, ink flow and tip wear on samples drawn at the start, middle and end of a run. Failures are rare but costly. Finished goods go into inner boxes, then master cartons with the count printed. Dealers order by item code and pack size, and a school set may bundle five items. One cover colour in short supply holds the whole order.

Where it breaks

What goes wrong for stationery manufacturers without a proper system.

Reel and sheet wastage is not measured

Paper is bought by the reel and consumed as sheets, trim and spoilt ruling, so the true yield of a reel hides inside the daily output. Nobody knows the sheets per kilogram.

Too many variants for a spreadsheet

Cover design, page count, ruling and pack size multiply into hundreds of codes. Stock gets counted against the wrong variant, and a ruled quarto book is issued for a plain one.

Pen parts are issued loosely

Barrels, caps, refills and clips leave the store in trays without a count. Assembly totals and part usage never reconcile, and tip-end ink waste is guesswork.

Cover printing changeovers are untracked

A plate change, a colour change and a spoilt first batch vanish inside the shift. The true cost of a small cover run stays hidden from the planner.

Dealer orders wait on one short item

A school set is promised, but one cover colour or one compass box size is missing. The rest of the order sits packed and unbilled on the dispatch floor.

What the software does

What we would build for stationery manufacturers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Variant item master

Hold each product as cover, page count, ruling, binding and pack size, or as barrel, colour and tip, with one code for every combination.

Paper reel and board stock

Record reels and duplex board received by size, GSM and lot, issue them to the sheeter, and read the sheets obtained against the reel weight.

Ruling, printing and binding runs

Capture sheets ruled, covers printed, books stitched or perfect bound and the spoilage at each step, per artwork code and shift.

Pen and pencil assembly

Issue barrels, caps, refills, ink and clips to the bench and log counted packs, so part usage matches the pens boxed.

Ink, glue and consumable lots

Receive ink, hot melt adhesive, stitching wire and UV lacquer by lot, and link each one to the batches where it was used.

Dealer orders and pack lists

Take orders by item code and pack size, build inner box and master carton lists, and show which line holds back an order.

Season stock and reorder

Forecast stock for the school term, show packed stock by variant, and raise a purchase request when reels or barrel stock run low.

Common questions

Questions stationery manufacturers ask before they call.

Can we see how many books a paper reel gave?

Yes. The reel weight and width are recorded on receipt, and sheets cut and books bound are counted against it. The gap shows as trim, edge waste and spoilt ruling.

How are the many cover and ruling variants handled?

Each variant gets its own code, built from the cover, page count and ruling options you define. Orders, stock and production counts then use that one code.

Does it cover both notebooks and pens?

Yes. Paper conversion and pen assembly follow different routes and records, and both can run inside one plant account without sharing a stock list.

Can dealers be given their own pack sizes?

Yes. A dealer’s preferred inner box and master carton counts are stored, and the pack list follows them. Special carton markings are set up with you.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
