Manufacturing · Software for commercial refrigeration companies

Hold every unit, refrigerant record, fault call and contract visit by customer site.

Commercial refrigeration companies install and service walk-in coolers, display cases, cold rooms, ice machines and condensing units for shops, kitchens and food plants. The software holds each unit by site with its service history, refrigerant log, fault calls and maintenance contract, and it sends the right engineer with the right parts.

At a glance

A customer with a failed cold room has stock at risk within hours. The call is urgent. The unit is often years old, and the engineer needs its make, its refrigerant type and what was done last time before he leaves the yard.

Service software for refrigeration firms keeps a record for every unit. Dispatchers see which engineer is nearest and qualified. Engineers see the history on a phone. Accounts bill the visit, the parts and the gas used, and contract customers are reminded of their renewal in good time.

How the work runs today

Customers are supermarkets, restaurants, hotels, cold stores, butchers, bakeries and food plants. Work arrives as breakdown calls, planned maintenance under a contract and new installations. A dispatcher logs the site, the unit, the fault and the value of stock at risk, then picks an engineer. The van carries compressors, fan motors, controllers, valves and gas, and the engineer diagnoses the fault, repairs or isolates the unit and notes cabinet temperature and pressures. Gas added or recovered is written against the unit. That record matters later. Many customers also run several sites, so the dispatcher needs one view of every unit that belongs to the same chain, whatever the address or the manager on duty.

Installation jobs begin with a survey and a quotation for cold rooms, display cases and pipework, and then move through site work, commissioning and handover. Planned visits follow a calendar, with filters, coils, door seals and defrost cycles checked each time. Temperature alarms from monitored units can raise a call without anybody phoning. Parts are bought from wholesalers and held in the van or the store. Some customers need a certificate after each visit. Others never ask. Accounts invoice the call-out, labour, parts and gas, and renew contracts as they fall due.

Where it breaks

What goes wrong for commercial refrigeration companies without a proper system.

Unit history lives in memory

The engineer who installed a cold room knows its quirks. When he is on leave, the next visit starts with questions and no record. Nobody wrote it down.

Refrigerant is not traced to a unit

Gas is bought in cylinders, topped up on site and recovered from old plant. Without a record by unit and cylinder, an audit request becomes a search through job sheets.

Urgent calls compete for the same engineer

A failed freezer and a routine service are both on the board for today. The dispatcher decides from a phone list, not from the value of stock at risk, the position of each engineer or the parts that each van is carrying.

Contract renewals are missed

Planned visits and renewal dates live in a diary or on a sheet. A customer discovers the lapse when a unit fails.

Parts on the van are unknown

An engineer drives to a site and finds he lacks a fan motor that the store holds. The second visit costs a day and annoys the customer. It was avoidable.

What the software does

What we would build for commercial refrigeration companies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Customer sites and unit register

Keep each site with its units by make, model, serial number, refrigerant type and install date, so history opens in one tap.

Fault calls and dispatch

Log a breakdown with the unit, the symptom and the stock at risk, then send the nearest qualified engineer.

Planned maintenance and contracts

Set visit calendars by contract and unit, record each visit, and flag renewals before they lapse.

Refrigerant and gas log

Record gas added, recovered and returned by unit and cylinder, so a record exists when a regulator or customer asks.

Van and store stock

Track compressors, motors, controllers and valves in the store and on each van, and reorder before a common part runs out.

Installation jobs and commissioning

Quote and run new cold rooms and cabinets in stages, with commissioning readings and handover documents held on the job.

Service reports and invoices

Leave a signed service report with readings and parts used, then invoice the call-out, labour, parts and gas.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions commercial refrigeration companies ask before they call.

Can a temperature alarm open a fault call?

Where your monitoring system can send an alert by email or an interface, a call can be opened for the unit automatically. Whether that link is possible turns on the monitoring product, and the first workshop settles it.

Does it keep a refrigerant record we can show an inspector?

Gas added, recovered and returned is recorded against the unit, the cylinder and the engineer. What your regulator requires you to keep is reviewed during implementation.

Can engineers see a unit’s history on site?

Yes. An engineer opens the unit on a phone and reads past faults, parts fitted and gas added. Entry needs signal, so a cellar visit may be keyed afterwards.

Is it only for service, or for installation as well?

Both. Fault calls and planned visits run as service jobs, and a new cold room runs as an installation job with stages, commissioning readings and a handover pack.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
