You buy actives, bases, fragrance, tubes, bottles, pumps and printed cartons, make bulk in a batch and fill it into packs. You sell through distributors and marketplaces, and some brand owners hand you their formulas.

How the work runs today

The store receives each ingredient and packing component against a purchase order, with the supplier’s lot noted. The plant draws a bulk batch from a formulation sheet, mixes it, and holds it for a quality check before it is released to the filling line.

Filling and packing run in stages: bulk transfer, filling, capping, labelling, mono carton and outer carton. Rejections occur at each stage, and the counts of filled packs, cartons and leftover components are written on a sheet at the end of the shift.

Finished goods leave by batch to distributors and marketplace warehouses. Returns come back with a complaint, a damage note or a near-expiry stock list, and somebody must find the batch behind each one. Brand owners who use you as a contract maker expect a record per job.

Bulk yield and filled count disagree

The bulk made, the packs filled and the leftover bulk are measured on different sheets, so loss is guessed. The gap is never explained.

Packing components run out mid-batch

Printed cartons, tubes and pumps carry artwork versions, and the wrong stock is found at the line. Filling stops until it is sorted.

A complaint cannot be tied to its batch

The batch record, ingredient lots and retention sample are held in different places. Answers take too long.

Contract jobs for other brands blur together

Each brand owner has its own formula, pack and artwork, and the files sit in one shared folder. Mix-ups are a real risk.

Returns carry no batch detail

Distributors and marketplaces send back packs with no batch noted, so the cause is never traced. Credit notes are raised blind.

Take a job order with the brand owner’s formula, pack and artwork revision, and dispatch against it. A separate view for each brand owner is built around the production software.

Batch-wise stock and returns

Hold finished stock by batch and expiry date, and log each return by batch and reason. This is not part of the production software as standard, so it is a separate build.

Can a bill of materials hold a formulation?

Yes, as quantities for a stated batch size, with levels for bulk and for the filled pack. How your chemist scales a formula to a new batch size is reviewed during set-up.

Will it keep our records ready for an inspection?

It keeps batch, lot, quality reading and dispatch data together. The records your licence or auditor asks for, and how they must be signed, are for your adviser to confirm.

Can it manage our marketplace orders?

Not on its own. Making and dispatching are handled by the production software; marketplace listings and orders live on each marketplace. A feed of stock figures to them is separate work.

Can we keep Tally?

Tally can stay for accounts and GST. There is no direct link, so figures are read inside GullySystem, and a file for your accountant is quoted as extra work.
