Link your Shopify store to the stock, accounts and fulfilment records you already run.

A Shopify store takes the orders. Stock, purchasing, dispatch and accounts often sit somewhere else. GullySystem joins the store and your own business software, so products, inventory levels, orders and fulfilments move without copying between screens. Scope, direction and limits are set for each project, and they depend on your Shopify plan, your store settings and any apps that already change orders or inventory.

Each flow is agreed one at a time: which record, in which direction, and what happens when it fails.

Orders into fulfilment and billing

A paid Shopify order becomes a sales order in your system with its line items, discounts, shipping address and payment gateway reference. The accounts team can match each payout to its sales later. Warehouse and accounts teams work from that one record, and a cancelled order releases the reserved stock again.

Inventory levels by location

Stock counted or received in your system is written back to Shopify inventory levels for the matching location, be it a warehouse or a shop. Variants stop selling when the physical count reaches zero.

Fulfilment and tracking back to the store

Once goods are packed and a courier is assigned, the fulfilment and tracking number are posted to the Shopify order, including partial shipments of some line items. The buyer receives the shipping update from the store. No copy and paste is needed from your packing desk to the courier portal and back again, which is where tracking numbers tend to go astray.

Product and variant data

Products, variants, SKUs, prices and compare at prices maintained in your master can be created or updated in Shopify. Images and descriptions come from the same product record you already keep. Collections and tags follow rules you define. Titles stay consistent.

Customers, returns and refunds

Shopify customers are matched to existing accounts rather than duplicated, which matters when the same buyer also orders on trade terms. A refund or return raised in the store produces a credit note and a stock movement on your side.

How it is built

From scoping to hand-over.

1. Settle which system owns each record

Products, variants, orders, fulfilments and refunds are the usual objects in scope. For each we decide whether Shopify or your system is the owner. No shared edits.

2. Connect and test on a development store

Shopify allows test stores for building. We use one. We run orders, partial fulfilments, cancellations, exchanges and refunds there first. The notifications Shopify sends stay turned on, so the connection meets the same events your live store will produce.

3. Settle variants, locations and fulfilment

Variants are tied to your item codes, and taxes, shipping charges and discount codes are mapped to the ledger lines that your accountant already uses for online sales. Repeat notifications are recognised, so an order cannot be booked twice. Failures are retried and logged with enough detail for someone to fix the cause of each one.

4. Test returns and refunds, then hand over

Orders in the store are checked against your sales records at set intervals. Gaps surface in days, not at month end. Your team gets the log and a contact. Handover is a call, not a document.

Questions about connecting Shopify.

Which way does data travel between Shopify and my system?

It can be either. Orders usually flow from Shopify to your system, while inventory and fulfilment flow back to the store. We agree the owner of each record before building, so two systems never edit the same field.

Which Shopify plan do I need?

That depends on the data and apps. We check the plan and the store permissions during scoping, before any estimate is given, and tell you plainly if something you want is not reachable.

Can older orders and products be imported?

Generally yes, as a separate load. Whether every historic field is available depends on your store and the access you grant. Older orders are often needed only for totals.

What if Shopify changes its API?

We follow Shopify’s announcements and review them against the connection. Updates that your data depends on are handled under a support arrangement that we agree with you, including how quickly you want a fix after a change goes live.
