Manufacturing · Software for food ingredient manufacturers

Hold each customer’s formulation, specification and certificate of analysis against the lot you shipped.

A food ingredient maker sells blends, flavours, powders and starches to other food companies, each with its own specification. The food ingredient software keeps customer formulations in versions, ties every blend to its raw lots, and prints a certificate of analysis for each shipment. Allergen statements follow the recipe. Your technical director decides who may approve a recipe or release a lot.

At a glance

Your customers are food manufacturers. They do not buy off a shelf. They send a specification, ask for samples, approve a trial, and then expect every later lot to match the approved one within the limits they wrote down.

The data behind that promise is usually split. Formulations are in a chemist’s workbook, and spec sheets are in email threads. Sample requests are tracked on a whiteboard, and certificates of analysis are typed from lab results into a template each time a truck is booked. When a customer changes a specification or asks which sack of cumin went into last March’s blend, the plant must open four files and ask two people. It is slow. It is also easy to get wrong.

How the work runs today

Buyers order a seasoning, flavour or functional powder against a target particle size, moisture and taste profile, and expect a lab sample made to that target before any order is placed. The technical team makes a lab sample, sends it with a draft specification, and revises the recipe until the customer approves. The approved formulation becomes a product code held for that customer, with its allowed raw material suppliers and its allergen statement.

Production weighs raw materials into the blender according to the recipe, mixes for a set time and sieves the blend. It then passes a metal detector before packing into sacks, drums or cartons. The laboratory tests moisture, particle size and any customer-specific parameters on a retained sample. A certificate of analysis goes out with the shipment. A retention sample is kept for each lot until the shelf life ends.

Where it breaks

What goes wrong for food ingredient manufacturers without a proper system.

Approved recipes exist in several versions

A customer approved a trial recipe two years ago. Since then the blenders have worked from a revised copy, and the version the customer really signed off is anyone’s guess.

Specifications arrive in many formats

Limits for moisture, particle size and microbiology come as emails, PDFs and calls. The lab works from whatever it last saw.

Certificates are typed by hand

Lab results are copied into a certificate for every shipment. One slip reaches a customer’s incoming inspection.

Raw material suppliers change without notice

A spice lot from a new supplier is blended into a customer-specific product. The customer’s approved supplier list was not checked.

Samples have no trail

Trial samples go out with a courier slip and a hand-written label. The buyer’s comments come back weeks on, with no way to tie them to the recipe sent. The next trial begins as a guess.

What the software does

What we would build for food ingredient manufacturers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Customer formulations and versions

Hold each approved formulation under the customer’s product code, with revisions, raw material limits and the date the customer approved it.

Specification sheets by customer

Store the limits for moisture, particle size, colour and microbiology that each customer sets, and compare every lot to them.

Sample requests and trials

Log each sample sent, the recipe version, the courier and the customer’s feedback, so a trial can be reproduced.

Raw material approval

Keep an approved supplier list per ingredient and per customer, and stop a lot that comes from a supplier not on it.

Blend batch records

Record raw lots weighed into each blend, mixing time, sieving and metal detection results against the batch.

Certificate of analysis

Print a certificate from the lab results saved for the lot, in the layout each customer expects.

Allergen statements and retention samples

Generate the allergen declaration from the recipe, and track each retention sample to its shelf life end.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, accounting reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

Common questions

Questions food ingredient manufacturers ask before they call.

Can one recipe be sold to several customers?

Yes. A base recipe can feed several customer product codes, each with its own limits, labels and certificate layout.

Does it test the product?

No. Your laboratory does that. The results are entered or imported and compared against the limits for the customer, and the certificate is built from them.

Can we trace a raw material to every customer who received it?

Yes. Search by ingredient lot and the screen lists the blends, batches, shipments and customers connected to it.

How are customer-specific allergen rules handled?

The recipe carries the allergen flags. Extra customer rules, such as segregated lines, are recorded on the product code and checked before a batch is released.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
