Manufacturing · Software for aPI manufacturers

Follow every intermediate, campaign batch and impurity result of an active ingredient.

Active pharmaceutical ingredient makers run multi-step syntheses through reactors, centrifuges and dryers, then mill and blend the final powder. The API manufacturer software holds stages, intermediates, batch records, test results and deviations together. Each final lot links back to its starting materials.

At a glance

An API plant makes a molecule in stages. Starting materials become intermediates, intermediates become crude product, and crude product is purified, dried, milled and packed. At every stage a sample is tested, and a stage that fails its specification can send material back for rework, reprocessing or rejection, each of which must be written down. Every step leaves a record.

This software keeps the chain of stages in one place. Each lot of final product shows the intermediates behind it, the reactors and solvents used, the test results and any deviation raised on the way. Your quality unit decides how review and release work. The software records them. It does not replace them.

How the work runs today

Chemists and operators work in campaigns, running the same product through the same reactors, centrifuges and dryers for several weeks before the plant changes over to something else. Cleaning follows. A batch begins when starting materials and solvents are charged to a reactor. Temperature, pressure and hold times are logged. At the end of the stage the mass is filtered or centrifuged, washed, and dried in a tray or vacuum dryer, and a sample goes to the laboratory.

The laboratory runs assay, related substances, residual solvents, water content and particle size. Deviations are raised when something goes outside the written process, and each one needs investigation and a decision on impact before the lot is allowed to move on to the next stage. Purified product is milled and blended, packed in lined drums with a seal number, and shipped with a certificate of analysis. Change control governs any alteration to the route.

Where it breaks

What goes wrong for aPI manufacturers without a proper system.

Intermediates lose their lineage

A final lot is built from three intermediate lots, and a reprocessed lot is blended in. The chain from final lot back to starting material is rebuilt from folders each time a customer asks.

Deviations sit in a separate file

A deviation raised during drying is tracked in a register that is not tied to the batch. Release goes ahead without anyone checking if it is closed. The gap is found later.

Campaign cleaning is poorly recorded

Equipment is cleaned between products, and the swab or rinse results sit on a sheet beside the reactor. Which clean belongs to which batch is unclear. Auditors ask.

Solvent recovery blurs lots

Recovered solvent is reused across batches, and the record of how much recovered material went into a lot is incomplete.

Retest dates are managed by hand

Final lots carry a retest date. The warehouse tracks them in a spreadsheet and expired stock is found during stocktaking.

What the software does

What we would build for aPI manufacturers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Route and stage master

Hold each product’s synthesis route as stages with inputs, solvents, equipment and in-process test points.

Batch manufacturing records

Record charges, temperatures, hold times, yields and sample draws for each stage, with a reviewer’s sign-off.

Intermediate and final lot genealogy

Show, for each lot, the intermediates, starting materials and any reprocessing that sit behind it.

Deviations and change control

Raise deviations against the batch, link investigations and track change requests to the route until they are closed.

Laboratory results

Post assay, impurity, solvent, water and particle size results for each sample, compared with the specification.

Retest and expiry tracking

Show retest dates for each final lot with a list of stock that needs retesting before dispatch.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, accounting reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions aPI manufacturers ask before they call.

Can the system show which intermediates went into a final lot?

Yes. Open the lot record to see the intermediate lots, their starting materials, any reprocessed material blended in and the reactors used.

How are deviations tied to batches?

A deviation is raised against a stage of a batch. Release is blocked until the deviation reaches its closed status, as your quality rules require.

Does it make the plant compliant with a pharmacopoeia or inspection standard?

No software does that by itself. The system records what happened. Your quality head defines what counts as acceptable. The system is a record, not a certificate.

Can we run several products through the same equipment?

Yes. Equipment use is logged by batch, with a cleaning record between products, so campaigns can be reviewed later.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
