Manufacturing · Software for paper product manufacturers

Account for every reel, sheet and ream from paper intake to packed bundle.

Paper product manufacturers convert reels and sheets of paper into notebooks, envelopes, bags and similar goods. The software tracks reel weight, grammage and width, the conversion route through slitting, ruling, folding and binding, and the waste at each step, so every order shows what its paper really cost. The count is by ream, bundle and carton.

At a glance

A paper converter buys reels by weight and sells goods by the piece, the ream or the carton, and the gap between those units is where margin goes. Trim waste, set-up spoilage and a reel returned half used all change what a notebook really cost to make. None of it shows on the paper bill.

Paper product software follows the reel from receipt through slitting, sheeting, printing, ruling, folding, pasting and binding. It records grammage, width and moisture on arrival, then the waste at every stage, so a notebook’s cost is read from paper actually used. Packed bundles and cartons are matched to a customer order.

How the work runs today

Paper arrives as reels or flat sheets, each with a supplier’s weight, width and grammage. The store books them against a mill and a lot. A planner reads the day’s orders for exercise books, envelopes, paper bags or file covers and picks the reel that cuts with the least trim. Width decides. Slitting and sheeting machines turn the reel into the sizes the orders need. Wide offcuts go back to stock.

Next come ruling, printing, folding, gumming and stitching. Each is run by a small team on its own machine. Operators log pieces made and waste at the end of every run, with the reason when a stack is rejected for creased edges or uneven ruling. Counters put the output into reams or bundles and then cartons. A dispatch clerk pairs the carton count with the customer order, prints the delivery note and loads the vehicle. Short loads stop here.

Where it breaks

What goes wrong for paper product manufacturers without a proper system.

Reel weight and sheet count disagree

A reel is booked by kilograms and consumed in sheets. They never reconcile. Nobody can say whether the gap is trim, spoilage or paper that left the store without a record.

Grammage is assumed, not recorded

Paper of 70 and 80 grammes looks alike on a shelf, and a handwritten tag is all that separates the two. A reel of the wrong substance goes onto a job. The notebook comes out too thin.

Set-up waste is not tracked

Every changeover on a ruling or pasting machine burns paper before good output starts, and the cost lands in an overall waste figure instead of on the order that caused the stop. Nobody questions it.

Partial reels return to the wrong place

A half-used reel is wrapped and shelved with no new weight. The next shift cannot tell it from a full one until the slitter runs dry halfway through an order for a customer waiting on delivery.

Carton counts and order counts do not meet

Packers fill cartons by habit, to a familiar height or weight, and dispatch finds only at the vehicle that the order wants twelve dozen while the cartons hold eleven.

What the software does

What we would build for paper product manufacturers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Reel and sheet intake

Book each reel with mill, lot, grammage, width, core size and weight, and record moisture or surface checks when they matter.

Conversion planning

Choose reels for an order by size and trim, and see how many pieces each reel should yield. The planner knows the paper needed before the slitter is set.

Machine runs and waste

Operators log slitting, ruling, folding, pasting and binding output with set-up waste separated from run waste.

Partial reel stock

Weigh and relabel a reel after each job so leftover paper keeps its true weight and grammage.

Bill of materials per product

List paper, board, glue, thread, wire and cover material for each notebook, envelope or bag, with a trim allowance. The cost of one piece then includes small items that usually go uncounted, such as thread and glue.

Packing by ream, bundle and carton

Count output into packs. Print labels.

Orders, delivery notes and invoices

Take customer orders by item and quantity, dispatch against them, and raise tax invoices under your local rules. Short shipments stay open.

Common questions

Questions paper product manufacturers ask before they call.

Can it handle both reels and loose sheets?

Yes. A reel is booked by weight and width, and a sheet stack by size and count. Each is linked to the orders it fed, whichever form the paper arrived in.

Does it work out how much paper an order needs?

Yes. The bill of materials holds pieces per sheet and a trim allowance for the product. The planner sees the weight of paper to draw from the store before the machine is set.

Can we separate set-up waste from run waste?

Yes. The operator marks a run start, and paper spent before that point counts as set-up. Both appear in the order cost.

What does the system cost and how do we start?

Machine count and user count set the figure, and it is quoted in writing. Before then you watch a demo using a notebook or envelope you already make.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
