How the work runs today

The store receives each material and logs it against a purchase order. A mixing supervisor draws a batch quantity, and the plant records what was actually issued against what the recipe expected. A powder batch, a liquid batch and a filled-pack run each have their own steps.

Packing lines run pouches, bottles and jerrycans in several pack sizes, with cartons made up for each size and a printed batch code on every one. Rejected pouches, leaking bottles and loose cartons are counted at the end of each run.

Dispatch follows distributor orders. Salesmen collect them on their beats, schemes run for a few weeks with a free pack or a carton offer, and distributors raise claims for damage and shortage that accounts must check.

A free pack or carton offer is given at the godown, and stock records show no reason for the fall. The scheme looks cheaper than it was.

Leakage and damage claims are unverified

Liquid packs leak in transit, and claims arrive with no batch or photograph. Accounts approve them anyway.

Distributor ageing is read late

Dues sit in Tally while the sales team keeps the relationship, so a hold is decided after the next order ships. Credit slips quietly.

Set free packs, carton offers and slab discounts each with a date it begins and a date it stops, and print what was given as its own line on the invoice. The scheme names are the ones your salesmen use.

Distributor logins and credit hold

Give each distributor a login with his rates, stock view and ledger, and hold an order that crosses his credit limit until a person releases it. The release is saved with a name.

Damage and leakage claims

Raise a claim against the invoice with photographs and follow it to a credit note. Tying each claim to a batch is added during set-up.

Can we keep our accounts in Tally?

Yes. The ordering software prepares a file of bills, returns and receipts that your accountant loads. The production software has no such file as standard; that export is written separately.

Does it work out the cost of a batch?

Not on its own. Material consumed, rejection and wastage for each batch are on record, but a cost per unit of the finished pack is not calculated. Your accountant can work from the records.

Can free packs under a scheme be handled?

Yes. A scheme is set up with the dates it runs between, and the free pack is printed on the invoice as its own line. Which stock it comes from is settled while the system goes in.

Will our dealers all use the login?

Only if the old way runs beside it. A salesman keys orders for those who will not log in, and the willing ones move across over time.
