Manufacturing · Software for school furniture manufacturers

Track every bench, desk and chair set from tender lot to school acceptance.

School furniture is made in large lots against a tender or a supply order, in sizes that change with the age of the student. The school furniture software holds the order quantity by size, the tube and panel issue, welding and coating batches, and delivery to each school. Acceptance certificates and short supplies are recorded against the lot.

At a glance

A school order arrives as a quantity by class level: so many dual desks, benches, teacher tables and chairs, each in its own height. The workshop cuts steel tube, welds frames, coats them, fits wooden or laminated tops and packs the lot for several schools at once. Short counts and wrong heights are found only when a headmaster signs for the delivery.

The software keeps the lot together. It follows the order from tender award to the signed acceptance at each school, with every frame, top and seat counted. Desk sizes, colours and schools from your own tender go in as lots, each counted from tube cutting through to the signed copy.

How the work runs today

The office receives a supply order or a tender award with quantities by size and by school. Planning splits it into frame, top and seat counts, issues tube and sheet to the shop, and books the powder coating oven for the lots that are due first. Steel tube is cut, bent and welded into frames, then pickled, degreased and coated in the colour the buyer specified.

Tops of plywood, particleboard or laminate are cut, banded and fitted with screws and rubber feet. Finished sets are stacked on a truck by school. A delivery note lists every item, and a teacher or clerk signs it on arrival. Missing screws or a wobbling leg become a short supply note that the shop must clear.

Where it breaks

What goes wrong for school furniture manufacturers without a proper system.

Sizes are mixed up across a lot

A tender asks for three desk heights for different class levels. Frames are welded to the wrong height when the cut list is read from a handwritten sheet, and the error is seen on delivery. Parents notice the mismatch first.

Powder coating batches are not traced

Frames wait for the oven in a pile, and when a school reports uneven colour or thin film nobody can say which load it came from. Rework is done on guesswork. Nobody agrees on the cause.

Tube and sheet use is unknown

Steel tube and board are issued by the bundle and sheet. Nobody compares what the order should consume with what left the store, so waste grows unnoticed. Offcuts vanish without a record.

Deliveries to many schools get confused

One lot goes to many schools in one run. A box meant for one school is left at another, and the signed copy of the delivery note arrives weeks late. Payment waits for those papers.

Acceptance and payment stay apart

The buyer pays after a satisfactory delivery report, and the accounts team cannot see which schools have signed. Bills wait for papers that are lying in a driver’s bag.

What the software does

What we would build for school furniture manufacturers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Supply order and size schedule

Record each order with quantities by item, class level and height, with the delivery schedule and the buyer’s sample approval.

Frame cutting and welding

Issue steel tube against the cut list and log frames cut, bent and welded by size, welder and shift, with rejects shown.

Powder coating batches

Group frames into oven loads by colour and record load date and rework. Any frame in a school lot leads you to the oven load that coated it.

Top and seat fitting

Count tops and seats cut, banded and fitted against the frame count, so a set is complete before it is stacked.

Delivery lots by school

Plan trucks by school with the items on each delivery note. Record the receiving clerk’s name and the signed copy.

Short supply and replacement notes

Log missing or damaged items found at a school, send replacements as a note against the same lot and close it when the school confirms.

Bills against acceptance

Raise bills in line with the order terms and hold them until the signed acceptance for the lot is on file.

Common questions

Questions school furniture manufacturers ask before they call.

Can one order cover many schools and class levels?

Yes. A single order carries a table of items, sizes and quantities per school. Delivery notes are generated per school from that table, so counts balance at the end.

Does it support tender work?

It records the tender award, the agreed rate per item and the delivery terms. Preparing the tender document itself stays outside, and tender rules are reviewed with you.

Can we trace a frame back to its coating batch?

Yes, to the oven load. Frames are grouped by colour and load date, and a complaint from a school points to that batch and to the welders who made the frames.

Do drivers need an app for signed delivery notes?

No. A clerk uploads a photo of the signed delivery note, or the driver does so from a phone browser. Until then the school stays open on the acceptance list.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
