Manufacturing · Software for herbal product manufacturers

Control botanical raw materials, formulations, batches and release in one system.

Herbal product makers receive plant material from many suppliers, blend it by formula and sell under their own labels. The product records intake, quarantine, testing, batches, expiry and distributor orders against one lot number, so each finished batch traces back to its raw material.

At a glance

Herbal manufacturers work with natural raw materials that vary from one delivery to the next. Roots, leaves, flowers and extracts arrive from growers and traders, and are cleaned, dried, ground, extracted or blended into powders, tablets, oils and teas for pharmacies and shops.

Each step needs a record of what went in, what came out and who approved it. Many plants still hold these on paper registers and in separate stock files that nobody compares until an auditor or a buyer asks a question. Finding answers is slow.

How the work runs today

The stores team receives raw material against a purchase order, notes the supplier and the lot, and holds it in a marked quarantine area until the quality team has checked it. The quality team samples each lot. It records the result and releases or rejects the material. Production staff then draw approved stock against the formula for a batch, and the weights taken from each lot are written on the batch sheet at the moment of issue.

Packing teams label finished goods with a batch number and expiry date. Sales staff take orders from distributors, pharmacies and shops, and dispatch from stock by batch. Management reviews yields, wastage and the dates on which stock will expire.

Where it breaks

What goes wrong for herbal product manufacturers without a proper system.

Raw material varies and is hard to trace

Each delivery differs in moisture, potency or origin. The link between a supplier lot and the finished batch is kept on paper.

Formulas are adjusted by hand

Quantities change with the strength of the material. The formula used for a batch is not always written down with it.

Quality results are filed apart

Test reports sit in a folder while stock sits in a register. A released lot and a held lot look alike.

Expiry dates are watched manually

Shelf life is checked by walking the store. Short-dated stock is found late, and older lots are not always issued first.

Distributor orders cannot be matched to batches

A customer asks which batch they received. Answering means searching dispatch notes and packing lists.

What the software does

What we would build for herbal product manufacturers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Raw material intake and quarantine

Receive material against an order, record supplier and lot, and hold it until the quality team releases it.

Formulations

Keep each formula with ingredient quantities and approved versions, and scale it to the batch size.

Batch manufacturing records

Record each stage of a batch, such as drying, extraction and blending, with quantities in and out, the operator who ran it, and the equipment used for that stage.

Quality testing and release

Log checks per lot and per batch. Mark each one released, held or rejected before it moves on, and keep the analyst’s name beside the result.

Stock, lots and expiry

Show stock by lot and location with expiry dates, and issue the oldest eligible lot first.

Supplier and grower records

Hold supplier details, price history and the lots received from each source, with notes on quality over time.

Distributor orders and dispatch

Take orders, dispatch from batch-tracked stock, and print labels and invoices that carry the batch number.

Common questions

Questions herbal product manufacturers ask before they call.

Does it replace our quality system?

It records tests, approvals and batch history. Your own procedures and any licences you hold still define how quality is run. These are reviewed during implementation.

Can it handle contract manufacturing?

Yes. Material sent to or received from an outside manufacturer is tracked with the quantities returned and the batch they belong to. Losses show up fast.

Can labels carry batch and expiry details?

Yes. Labels are printed from the batch record. Wording required by your regulator is decided with you and reviewed during implementation.

Will a small workshop find it too much?

Yes. A small unit can begin with stock, formulas and batches, and add testing and distributor orders later.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
