Manufacturing · Software for contract pharma manufacturers

Run each client’s product from technology transfer to released batch on one record.

Contract pharma manufacturers make tablets, capsules, liquids or sterile products to the specification of a client company that owns the product and answers for its release. The software holds each client’s master batch record, quality agreement terms and campaign plan, so a supervisor opening a batch sees the rules of that client and no one else. Free-issued materials, deviations, change controls and batch release packs stay on the record of the batch.

At a glance

A contract manufacturer works under someone else’s product name and someone else’s rules. One client supplies the active ingredient and its own packaging. Another expects the plant to buy everything, including packaging components that must match artwork the client approved months ago. A third asks for a quality agreement clause that differs from the other two. Notes pile up. The same line may run all three in one week, and a mix-up of labels, components or leftover powder between campaigns is the risk that every quality unit watches most closely.

Management software for contract pharma plants keeps each client’s product, batch record and agreement terms apart, yet visible together on one screen for supervisors. Share your requirements. We will map one product from technology transfer to the client’s batch release and show where documents wait on a person. Those waits are usually the real delay.

How the work runs today

A client sends a request for a new product with a technology transfer package, a draft master formula and a target quantity. The plant runs feasibility, makes exhibit batches, agrees the master batch record and signs a quality agreement. After that, orders arrive as campaigns. Raw materials come either from the client as free issue or from the plant’s own vendors, each with a certificate of analysis and a sampling record.

On the floor, line clearance comes before dispensing. Operators weigh, granulate, compress or fill, and every step is signed in the batch manufacturing record. Samples go to in-process control and the laboratory, where results are read against the specification written into the client’s own approved product file. A deviation is raised if a yield, a hold time or a limit is missed. Quality owns it. Clients hear of it. The client’s quality unit reviews the batch pack before release, so a missing page delays the shipment. Everyone waits.

Where it breaks

What goes wrong for contract pharma manufacturers without a proper system.

Client rules are scattered across emails

Each client has its own limits on yield, hold time, retained samples and notification of a deviation. These sit in agreements and email threads, copied into the supervisor’s notebook and quoted from memory when a batch runs late. The shop floor works from what the supervisor remembers.

Free-issue material is hard to separate

A client’s active ingredient sits on the same racks as the plant’s own excipients. Counts drift between the two. At year end nobody can say how much of one client’s material is left.

Batch packs arrive incomplete at client review

The batch record, in-process results, laboratory data and line clearance sheets are assembled by hand. A missing signature is found by the client’s reviewer. Release is delayed while the page is chased from the shop floor, signed again and sent back to a reviewer who has moved on.

Deviations and changes follow no common path

A deviation or a requested change is passed by email between production, quality and the client. Nobody sees which ones are open for which client, or whether the client has approved the fix.

Campaign costs cannot be billed cleanly

Tolling charges, material cost, testing and packaging are worked out in separate files for each client. The invoice is assembled after the batch and disputes about quantity are common.

What the software does

What we would build for contract pharma manufacturers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Client and product masters

Hold each client with its products, quality agreement terms and contacts. A product record carries its master formula, specification, shelf life and approved vendors, and every batch opens against the version that is currently approved. Rules stay with the client.

Technology transfer and exhibit batches

Track the transfer package, feasibility runs and exhibit batches before a product goes into routine production. Open actions show by client and owner. Dates are visible. Stalled transfers stand out.

Master and batch manufacturing records

Issue the batch record from the approved master, with step sign-off, yields and in-process checks entered as the work happens at the granulator, the press or the filling machine. Line clearance comes first.

Free-issue and plant-purchased materials

Keep client-owned active ingredient and packaging apart from plant stock, with receipt, sampling status and reconciliation by client. A quarantined lot cannot be dispensed.

Deviations and change control

Raise, investigate and close deviations and change requests with the client’s approval step. Open items are listed by client, product and age. Nothing hides.

Batch release pack

Assemble the record, laboratory results and clearance sheets into one pack for the client’s quality unit. Missing signatures are flagged before the pack leaves.

Tolling invoices and campaign costs

Raise invoices for conversion charges, materials supplied by the plant and testing, in the client’s currency and tax rules. Quantities come straight from the batch record. No retyping.

Common questions

Questions contract pharma manufacturers ask before they call.

Can two clients’ products share a line without mixing their records?

Yes. Each product has its own master, batch records and materials. Line clearance between campaigns is recorded, so the previous client’s product is visibly closed before the next one starts on the same compression or filling line.

How is the client’s own material kept separate?

Free-issue lots are tagged to the client and held in a separate stock account. Dispensing draws from it only for that client’s batches. Reconciliation prints per campaign, showing received, used, returned and balance.

Can a client see the batch pack online?

Yes, a client login can show the pack and let the client approve a deviation. Which documents appear is decided with your quality unit during implementation.

What shapes the cost of a contract plant system?

Scope grows with the count of client products and live lines, plus how many staff need logins and which client documents must be shared outside. We start with one of your real batch records on screen. A written proposal follows.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
