Run workstation, chair and storage orders from floor plan to installed desk.

Office furniture makers build workstations, desks, chairs, storage and meeting tables, usually for fit-out projects with a floor plan, a delivery sequence and an installation crew waiting on site. The product holds project orders, bill of materials, panel and steel work, upholstery and site installation together.

At a glance

Most office furniture is sold as a project, not a single item. A fit-out contractor or an office tenant sends a floor plan and a schedule. The maker supplies hundreds of desks, chairs and cabinets, floor by floor, to a site that is still being finished.

The range mixes processes. Boards are cut and edged. Steel frames are bent and powder coated. Chairs are upholstered and assembled, and every item ships flat-packed or ready built with its fittings in a pack that must be right.

How the work runs today

The estimating team measures items off the floor plan and prices each desk, chair and cabinet by workstation type. Revisions sit in a folder that the sales manager updates by hand. After approval, a finish and fabric sample is signed. The order is split into phases. They follow the contractor’s programme.

The panel shop cuts boards, edge bands and drills them, while the steel shop cuts, bends and welds frames before they travel to the powder coating line. Cutting lists are laid out to save board. The upholstery bay cuts foam and fabric and fits chair mechanisms, gas lifts and castors.

Parts are kitted by workstation and packed with a hardware pack and a fitting instruction, then dispatch loads the cartons in the order the installation crew will unpack them. The crew signs for each floor. Damage and shortages go on a snag sheet. The maker returns to fix them.

Where it breaks

What goes wrong for office furniture manufacturers without a proper system.

Project orders hide the item detail

A single order covers many workstation types in several finishes. Totals look healthy while one finish or one chair model is behind.

Hardware packs go short

A desk is complete only with its screws, cam locks, cable grommets and brackets. Packs are counted by eye, and a missing item is discovered on site.

Finish and fabric lots differ

A laminate or fabric from a later lot looks different from the first. Items for one floor are then shipped from two lots.

Powder coating is a blind spot

Steel frames go to a coating line or an outside coater. Colour, film thickness and returned counts are noted on paper, if at all.

Snag lists live on site

The installation crew scribbles each chipped worktop and missing castor onto a paper sheet. The factory learns of them days later, and the replacement part leaves stores on a verbal request.

What the software does

What we would build for office furniture manufacturers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Project orders and phases

Hold each fit-out as an order split by floor and delivery phase, with item types, finishes and quantities, so the shops release only what the site can receive.

Bill of materials by item

Keep boards, edge tape, steel sections, fittings and fabric for each desk, cabinet or chair. The finish chosen decides which board and fabric are drawn.

Panel, steel and upholstery stages

Track parts through board cutting, bending and welding, powder coating, upholstery and assembly with counts at each stage and the name of the supervisor who signed each count off.

Hardware packs and kitting

Build and count hardware packs per workstation. Kit parts so each carton is checked against its list before it leaves, not after it reaches the floor.

Finish and fabric lots

Record board and fabric lots against items. One floor, one lot.

Installation and snag lists

Assign crews to floors, record handover and list damage or shortages so replacement parts are tracked.

Common questions

Questions office furniture manufacturers ask before they call.

Do we need it if we sell mostly from a catalogue?

Partly. Catalogue lines still gain from item bills and live board and steel stock, while the project and phase features matter most for fit-outs from a floor plan.

Does it handle chairs as well as desks?

Yes. Chair bills carry foam, fabric, mechanism, gas lift, base and castors. Panel items carry boards and edging, and steel items carry sections and coating.

Can it track outside powder coating?

Yes. Every batch sent to an outside coater is logged with its frame count and colour, and coated frames are checked in against that entry. A shortfall shows before assembly.

Can installation crews use it on site?

Yes. Crews view their floors and record snags on a phone, with photographs attached to the item, and the factory sees the list the same day without waiting.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
