Excel or Production Software for a Personal Care Product Manufacturer

A sheet is enough for one product made in a few batches a week. Production software starts to pay its way when several products, pack sizes and brand owners share the line. GullySystem’s production management software holds bulk batches, filling stages and packing stock; batch-wise returns are built around it.

What a sheet does well

A small unit with one soap or one hair oil can run on a ruled register and a sheet. The formula is fixed, the pack is fixed and the owner knows every batch.

That works until a second pack arrives. Then the sheet needs a tab per product, and the tabs stop agreeing.

Where the sheet breaks

Bulk made, packs filled and leftover bulk are three numbers. In a sheet they are typed on different days by different people. The loss between them is guessed.

Packing components cause the second break. Printed cartons, tubes and pumps have artwork versions, and a sheet shows quantity but not which version is on the shelf.

  • Bulk yield against packs filled
  • Components by artwork version
  • Ingredient lots tied to a batch
  • Retention sample and release status
  • Brand owner jobs kept apart

What production software holds

A bill of materials keeps each formulation for a stated batch size. A work order draws ingredients against it, and a job card records filled, rejected and reworked packs at each stage.

Quality readings sit on the batch, and the batch is held until a person clears it. Dispatch then picks from released stock.

What stays outside it

Batch-wise finished stock, expiry dates and returns by batch are not part of the standard software. They are built around it during implementation.

Marketplace orders and listings stay on each marketplace. A feed of stock figures to them is separate work, and so is any Tally export.

A simple test before you decide

Pick one complaint from the last year. Try to find its batch, its ingredient lots and its filling record within an hour. If that takes a search through three files, a sheet has run its course.

If it takes one lookup, keep the sheet and review it again when another pack is added.

Batch trace test

Take one past complaint and list what you must find: the batch, the ingredient lots, the filling job, the cartons used and the dispatch. Note where each item lives and how long it took to reach.

Questions owners ask

Can the software keep our formulations confidential?

Access is set by role, so a store keeper need not see a formula. Who may see what is agreed during implementation, and your adviser can say what your agreements need.

Does it replace our quality records?

No. It holds the readings and the release decision against each batch. The records your licence or auditor asks for are for your adviser to confirm.

Can we start with one product?

Yes. Many units load one formulation and one pack first, then add products as the floor settles.
