Software Solutions for Beauty and Makeup Sellers

A makeup range is a grid of shades, finishes and pack sizes, and every shade carries a stock count and a batch and expiry date of its own. Buyers cannot try colours on a screen. Sellers online need shade-level stock, fresh batches at dispatch and a returns rule for opened items.

At a glance

Sell makeup by shade, batch and expiry, not by product name alone.

One lipstick listing may hide thirty shades. A buyer wants to see each one, to know it is in stock and to receive a pack that is well within its date.

Behind that listing, a brand or shop manages launches, limited editions and tester units. Each of those touches stock differently.

Businesses and operating models

Makeup brands selling direct

The brand’s range goes out through its website and marketplaces. Collections launch in waves, and samples are given to prompt a first order.

Multi-brand beauty retailers

A retailer lists many brands, handles each supplier’s batch dates separately and runs promotions across brands.

Artists and studios with a product shelf

A makeup artist or studio sells the products it uses to clients, usually alongside services.

Distributors to shops and salons

A distributor supplies retail counters and salons with a dealer catalogue, minimum quantities and scheme discounts.

How an order moves

The workflow for beauty & makeup.

  1. 1

    Listing each shade

A product is listed once. Each shade hangs beneath it with a swatch, a code and a stock count.

  2. 2

    Choosing, sampling and bundling

A buyer picks shades, adds a sample or a minis set and sees any gift that the basket qualifies for.

  3. 3

    Allocating the freshest-expiring batch first

At picking, stock with the earliest date is used first, and a pack below an agreed remaining life is held back.

  4. 4

    Packing against heat and breakage

Products that melt or leak are packed accordingly, and glass is cushioned.

  5. 5

Returns of sealed and opened items

Sealed returns can go back to stock after inspection. Opened ones follow the policy you set, which may be refund, credit or none.

  6. 6

    Replenishment by shade

Reorders are planned for each shade, since the popular colours run out long before the rest.

Where it breaks

The challenges, and what they cost.

Shade mismatch causes returns

Screen colour differs from the real thing, and the buyer ends up with a shade that does not suit them.

Short-dated packs reach customers

Stock is picked in the order it is easiest to reach, so old batches stay on the shelf and new ones go out.

One shade sells out and the product vanishes

A listing is hidden when its first shade is gone, even though twenty others are available.

Opened returns are a grey area

Cosmetics cannot normally be resold once opened. Without a clear rule, each case is decided by whoever answers the email.

Launch demand is spiky

A new collection or a collaboration sells most of its stock within hours, and pre-orders must be matched to incoming batches.

Requirements to assess

What is specific to this trade.

These are requirements we would confirm in discovery. They describe what the solution may need to handle. They are not features that already exist.

  • Every shade as a variant carrying a code, an image and a stock count
  • Batch number and expiry date held for every unit group, with picking rules
  • A minimum remaining life that is checked before dispatch
  • Sample and gift stock held apart from sale stock
  • A written return policy for opened items that the system can apply
Recommended modules

What we would build for beauty & makeup.

Chosen from the commerce capabilities this business needs, not a list of everything.

Shade-level catalogue

Variants with swatches, shade codes, undertone and finish, shown as a grid on the listing.

Batch and expiry stock

Stock held by batch and date, picked earliest-expiry first, with a limit on remaining life at dispatch.

Samples and gift rules

Free minis and gifts triggered by basket value or product, drawn from separate sample stock.

Launch and pre-order handling

A launch date, a purchase limit per buyer and pre-orders matched to an incoming batch.

Returns grading

Sealed, opened and damaged returns graded separately and sent to stock, credit or disposal.

Dealer catalogue

Trade pricing, minimum quantities and schemes for shops and salons.

Users and permissions

Who works in the system, and what each can do.

Merchandiser

Adds products, shades and swatches, and plans launches.

Warehouse lead

Receives batches, records expiry dates and picks by date.

Customer care

Answers shade questions, grades returns and issues credits.

Trade sales

Manages dealer rates and approves orders from shops and salons.

Integrations

What it would connect to.

An integration is confirmed only after its API, access and scope are checked. A connection that updates on a schedule is described as scheduled, not real-time.

  • Marketplace listings and orders, for platforms whose seller interface permits it
  • Payment collection, including cash on delivery if you choose to accept it
  • One or more couriers, with packing guidance agreed for heat-sensitive items
  • Counter stock and billing in a physical shop, with GullySystem’s wholesale ordering product available on the dealer side
  • WhatsApp or email messages for restock alerts and launch dates
Implementation

How the work runs, and what we need from you.

What you provide

  • Your product and shade list with codes and pack sizes
  • How batch codes and expiry dates are noted when stock arrives
  • Your return policy for opened items and your sample rules

Settle the shade structure

Product, shade and pack size are separated into a clear hierarchy, since stock and swatches depend on it.

Test batch picking with a real delivery

A genuine inbound delivery is entered with its dates and picked against mock orders.

Open with one collection

One range goes live first, so shade stock and returns grading can be watched before the full catalogue follows.

Deliverables

What you receive.

  • A product, shade and pack structure
  • Batch and expiry picking rules
  • Sample, gift and launch rules
  • Returns grading flow
  • Notes for the team that runs the catalogue
Measurement

How progress is judged.

Measures are agreed against your own baseline. We do not promise a result in advance.

  • Units shipped with less than your minimum remaining life
  • Returns citing the wrong shade
  • Listings hidden because a single shade was out
India and international

Selling at home and abroad.

Shade ranges by region

A shade that sells well in one market may not be made for another. The catalogue records which shades are offered in each market and hides the rest.

Ingredient and label wording

Labelling and claims differ between countries. Text and images are set to your adviser’s specification for each market, and the system does not decide what is permitted.

Heat and transit time

A long journey in warm weather affects waxes and creams. Packing and the choice of carrier are agreed for each destination.

Display currency and payment

A foreign-currency price on screen does not mean the money is taken in that currency. Settlement is arranged with whoever processes your card payments, and your bank.

Suitable software

Beauty & Makeup E-commerce Platform and Stock Software

Configured implementation

Discovery selects the commerce platform on which the storefront and dealer catalogue are configured, and shade-level and batch-level stock rules are added around it. No existing GullySystem product runs a makeup storefront.

Common questions

Questions about beauty & makeup e-commerce.

Can the store show shade swatches and match them to a skin tone?

Swatches and shade attributes can be shown. Matching a buyer to a shade by skin tone is its own project, covered on the face makeup page.

Will it tell us what claims or ingredient wording is allowed?

No. Claims and label wording come from your adviser. The system shows the text you give it and does not review it.

Does the software manufacture or source the products?

No. Products, suppliers and their batches stay with your business. The software records what arrives and what ships.

Can artists and salons order wholesale?

Yes, through a dealer login with trade prices and minimum quantities, set up for each trade buyer.
