Keep the client card, the commission and the back bar with the salon, not the stylist.

Salons and spas run on a booking diary, a billing counter and commission added up on paper, so client history belongs to the staff and not to the salon. Our hair salon and spa products are built to your own service menu, chairs, therapy rooms and commission slabs. The appointment book, the client card, the back bar and the prepaid balance sit together. The colour formula stays when the stylist does not.

At a glance

Regulars come back for a stylist or therapist they trust. They book full-head colour and root touch-ups, keratin, facials and skin brightening, body therapies, and bridal packages that run across three visits and one very early morning. Trust is the whole business.

The history behind that trust belongs to the salon. The colour formula, the patch test note, the skin type and the last therapy should not live on one stylist’s phone.

How the work runs today

Clients book by call, on WhatsApp or through a listing app, and plenty simply walk in. The front desk fits them into a stylist’s slot or a therapy room, bills services and retail at the counter, and sells a membership or a prepaid card while they pay.

Stylists and therapists earn on services and on retail, at different slabs, added up at month end from bills and a notebook. Colour tubes, developer, shampoos and spa oils leave the back room quietly, counted rarely and never against the service that used them.

Bridal and party bookings need a trial, an advance, and staff at the venue by five in the morning. All of it is planned on calls and inside a WhatsApp group.

Where it breaks

What goes wrong for salons and spas without a proper system.

Client history walks out with staff

The colour formula and treatment history lived in the stylist’s head. She moves to a salon two streets away, and forty regulars move with her.

Commission slabs cause fights

Service and retail slabs are tallied by hand every month. Somebody is always convinced she has been short-changed. Sometimes she is right.

The back bar disappears

Colour, developer and treatment products are used with no record against the service, so ordinary consumption and quiet leakage look alike.

No-shows empty the chair

A Saturday slot is held for a client who never arrives, nobody was reminded, and the walk-in who could have taken it was sent away.

Prepaid packages are hard to prove

A member argues about what is left on her package, and the register cannot settle it either way. Usually the client wins.

What the software does

What we would build for salons and spas.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Appointment book by stylist and room

Book against staff, chair and therapy room, confirm on WhatsApp, and drop the walk-in queue into the same view.

Client card

Hold service history, colour formulas, skin notes and preferences against the client, so whoever takes the chair on Saturday mixes the shade your regular has had for two years.

Patch tests and consent notes

Record the patch test before a colour or smoothening service, and keep the consent note for a treatment on the client’s own card.

Counter billing

Bill services, retail products, prepaid balance and tax on one bill, by cash, card or mobile wallet.

Memberships, packages and loyalty

Hold what a member has paid for and what is left, so the desk can answer at the counter. Loyalty points come with the spa product, not the hair salon one.

Staff commission

Work out service and retail commission from the bills themselves, at each person’s own slab, with a statement for everybody at month end.

Back bar and retail stock

Record back bar usage against the service that consumed it, with reorder alerts well before a shade runs out on a Saturday afternoon.

Solutions inside

The business modules salons and spas use most.

Each one is also available on its own, or inside a system built for you.

AI by department

Where AI can help salons and spas.

Each one reads records you already keep, and a person approves every decision.

Rebooking prompts for lapsed regulars

Some regulars drift away without anyone noticing. The assistant reads each client card for the last visit, the usual service and the preferred stylist, then lists who looks due for a repeat, with a draft message. The salon manager reads the list and sends only what suits.

Commission queries answered from the bills

Commission disputes start with a missing line. The assistant matches each stylist’s bills against her slab, then flags any service or retail sale that looks unpaid or counted twice in the same month. The owner checks every flagged line against the appointment book and approves the statement before any stylist sees it.

Back bar use compared with services done

Colour and developer vanish quietly. The assistant compares tubes issued from the back bar with the services booked that day and shows where use runs above the usual for a shade or a stylist. The stock keeper looks into each gap and decides whether to reorder or have a word.

Fuller chairs from no show patterns

Empty Saturday chairs have causes. The assistant studies past no shows by client, service and slot, and suggests which bookings deserve a reminder call or a small deposit request. The receptionist decides who is contacted, and she can offer the slot to a waiting walk in client.

Connections

Tools salons and spas often connect.

Common questions

Questions salons and spas ask before they call.

Can it post salon sales to our bookkeeping tool?

Not built in. Sales and commission reports stay in the system for your accountant. If you want them in that package, the export is costed as a separate item.

Will staff be able to copy client numbers?

Not by default. Stylists see their own clients for the day on a phone. Hiding phone numbers and limiting bulk export to the owner would be custom work.

Hair, spa and skin under one roof. Which product do we take?

Hair Salon Management Software if cutting and colour fill the chairs, the Spa Management System if therapy rooms and packages do. Skin and aesthetics procedures have their own product, and a mixed salon is set up across them.

Can it handle bridal packages with trials and advances?

Yes, through our bridal makeup studio product. The booking holds the trial date, the advance, each function’s services and the artists rostered for the early start, with the balance on that record until it is paid.

How is a salon system priced?

Chairs, therapy rooms, locations, the service menu and the commission slabs you use all count. Memberships and back bar stock are optional parts. After a walk-through of your own menu, a written quotation sets a separate figure for every part.

What should a salon owner gather before we begin?

Collect the service menu, a stylist commission sheet, a client card sample, patch test forms, package and membership terms and the back bar stock list. A front desk lead and a senior stylist should be named to look at the screens.

When the salon moves on, who keeps the client cards and colour formulas?

The salon does, along with the software. Client cards, formulas, packages and commission history are all yours. On request they are exported as ordinary spreadsheets. Its developers keep supporting it, and hosting is at GullySystem unless the salon decides otherwise.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
