Personal services · Software for dog trainers

Keep every dog, handler, class place and session package on one record.

Dog training software holds each dog as a record linked to its owner. Group classes, private sessions and board-and-train stays are booked against trainers and spaces, packages are used up session by session, and vaccination papers and waivers stay on file. Owners see homework and progress between visits. The office sees who has sessions left and who has not paid.

At a glance

A dog trainer sells time and results. Puppy classes, loose-lead courses, behaviour consultations and residential stays all run on different calendars, and one owner may buy several of them for the same dog. The owner is the customer. The dog is the case. Owners ask for results, and trainers need records that show the work.

Most trainers hold this in a diary, a spreadsheet of packages and a messaging app full of videos. Class lists drift from payments, and vaccination papers go missing when a venue asks for them. The software joins these into one record per dog.

How the work runs today

An enquiry arrives by phone, a website form or a message from a vet or a rescue. The trainer asks about the dog’s age, breed, history and the problem the owner wants fixed, then offers an assessment, a place in a class or a private block. Before the first visit the owner must send vaccination proof and sign a waiver that covers handling and bites. The first call sets the tone. A trainer who asks good questions wins the client before a single lead is clipped on.

Sessions run in a hall, a park, a client’s home or the trainer’s own yard. Afterwards the trainer notes what was practised, sets homework and sometimes sends a short video. Classes run in terms with a fixed number of weeks, and a missed week may or may not be made up.

Payment is usually for a package, paid up front or in instalments, and a client who books a second dog or a second course often expects a discount that must be remembered. Assistant trainers are paid per class or per hour, and a venue may charge hire by the session. Month end is slow.

Where it breaks

What goes wrong for dog trainers without a proper system.

Packages are counted by hand

An owner buys six sessions, attends four and misses two. The trainer’s notebook says one thing and the owner remembers another, so credits become a debate.

Vaccination proof expires unseen

Certificates arrive as photos in a chat. Nobody checks the dates until a venue, a boarding kennel or another owner asks, and a dog may attend a class with lapsed cover.

Class lists and payments disagree

The attendance sheet shows who came. The payment record shows who paid. Joining the two for a term takes an evening, and waiting lists live somewhere else again.

Progress notes sit in many places

Notes are in a notebook, videos in a phone and homework in a message thread. A second trainer picking up the dog starts with very little.

Assistant pay and venue hire are unclear

Who taught which class, at which venue and for how long is recalled at month end. Pay and hire costs are disputed.

What the software does

What we would build for dog trainers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Owner and dog records

Keep the owner’s details with each dog’s breed, age, history, vet and behaviour concerns, so every trainer opens the same file.

Classes, private sessions and stays

Book group classes, one-to-one sessions and residential stays against trainers, venues and spaces, with waiting lists and make-up weeks handled in one calendar.

Packages and session credits

Sell blocks of sessions, count each one used, and show owner and trainer how many remain. Expiry dates are held on the package.

Vaccination records and waivers

Store certificates with their expiry dates and signed waivers on the dog’s record, and flag any dog whose cover has lapsed before a class.

Session notes and homework

Record what was practised, set homework and attach short videos. Owners read them in a portal, and another trainer can continue the plan.

Invoices, instalments and trainer pay

Bill packages and instalments, record payments, and work out assistant pay and venue hire from the sessions actually taught.

Common questions

Questions dog trainers ask before they call.

Does it work for a trainer who works alone?

Yes. A single trainer still has packages, waivers and vaccination dates to track. The extra roles, such as assistants and venue hire, can be left switched off until they are needed.

Can owners book and pay online?

Yes. Classes and sessions can be offered on a booking page, with payment taken through the gateway you already use. Which gateways are available depends on your country and is confirmed during implementation.

Can it handle board-and-train stays?

Yes. A stay is booked with dates, kennel or room, feeding and medication notes, and daily updates. It shares the dog’s record with classes and private sessions.

Who owns the client and dog data?

You do. Records can be exported, and how long certificates and waivers are kept follows local rules that you and your adviser decide.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
