Education · Tuition and Coaching Centre Management Software

One connected system for batches, attendance, fee instalments and test scores.

Run a tuition or coaching centre in one system. Enquiries, demo classes and admission forms sit beside each student’s batch, subjects and fee instalments. Daily attendance is marked batch by batch. Weekly test marks build a score history, and syllabus coverage, faculty hours and parent messages are recorded next to them.

  • Courses, batches, fee instalment plans and test patterns entered as your centre runs them
  • Student list, batch allotment and instalment dues migrated from your admission register
  • Later changes to batches, subjects and fee plans carried out for you when you ask

Coaching institutes, coaching classes and tuition centres run admissions, batches and fees on one record with Tuition and Coaching Centre Management Software. GullySystem sets it up for centre owners, the front office, faculty and coordinators. Attendance is marked batch by batch. Test marks, syllabus coverage, faculty hours and parent messages sit beside each student. Instalment plans follow what your office already quotes.

Where it breaks today

What goes wrong before the software.

Batch lists are kept in separate registers

Each faculty member holds a register for the batch he teaches. Nobody can say in one place which subjects a student actually attends.

Fee instalments are followed by memory

Admission fees are taken in two or three instalments. The second and third dates are remembered by the office. The reminder reaches a parent late.

Test marks sit on loose sheets

Weekly and monthly test marks are written on answer sheets and a rank list. A student’s score history across the year is nowhere together.

Absences are marked but never read

Attendance is taken in the batch register. A student who has stopped attending is noticed only when the parent calls or the year ends.

Parents ask the office for every update

Marks, attendance and the next instalment date are asked for on the phone. The office checks three registers before it can answer.

Faculty hours are counted at month end

Visiting faculty are paid by class hour or by batch. The hours taught are added up from timetables and memory after the month closes.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry and demo class

A parent or student asks about a course by phone or at the counter. The enquiry, the class or exam targeted and a demo class date are recorded.

  2. 2

    Admission

The admission form, photo, school or college name, subjects chosen and the fee instalment plan are entered on one student record.

  3. 3

    Batch allotment and timetable

The student is put into a batch for each subject. Rooms, faculty and weekly slots are set so two batches never clash.

  4. 4

    Classes and attendance

Faculty mark attendance for the batch and tick the topics taught. Extra sessions and doubt classes join the batch.

  5. 5

    Tests and results

Weekly, monthly and mock tests are scheduled by batch. Marks are entered subject by subject and the rank list and score history follow.

  6. 6

    Instalments and follow-up

Instalments falling due are listed with the parent’s number. Receipts are issued from the student record, and absence and marks updates go to parents.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Lead Management

The front desk records counter and phone enquiries with the class or exam targeted, fixes a demo class and tracks a follow-up date until joining.

  • Attendance & Time Tracking

Faculty mark present, absent and late for each batch sitting, and the centre lists students whose attendance has dropped or who stopped coming.

  • Receipts Management

Each admission holds an instalment plan, part payments arrive by cash, UPI or cheque, and the receipt is printed or sent.

  • WhatsApp, SMS and Email Notifications

Absence notes, test marks, instalment reminders and holiday notices reach the parent numbers on the student record, and a parent portal shows only that child.

  • Resource and Room Booking

Batch slots sit on a weekly timetable with the faculty member and room, and no room or teacher is booked twice.

  • Document Management

Notes, homework worksheets and past question papers are held against a course or batch, with a record of what was handed out or shared.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For centre owners

See admissions by course, batch strength, instalments collected and overdue, attendance that is slipping and the faculty hours taught.

For the front office

Take enquiries, complete admissions, allot batches, collect instalments and issue receipts. Parent calls of the day are answered here.

For faculty

See your batches and slots for the day, mark attendance, tick the topics taught and enter test marks for your subject.

For academic coordinators

Check the timetable, syllabus coverage against the plan, test schedules and the batches that are behind portion.

For parents and students

Open the parent and student portal for attendance, test marks, the next instalment date and the notices sent, for that student only.

Reports

The numbers the owner asks for.

  • Admissions by course, batch and enquiry source
  • Fee instalments due, collected and overdue by parent
  • Attendance by batch and by student
  • Test marks, rank lists and score history by batch
  • Syllabus coverage against the topic plan
  • Faculty hours taught by subject and batch
  • Batch strength and students who left, month by month
Good fit

Who this is built for.

  • Neighbourhood tuition centres taking school students class by class and subject by subject
  • Coaching institutes preparing students for engineering and medical entrance exams
  • Board exam coaching running evening, weekend and crash batches
  • Competitive exam centres coaching for banking, railway and state service papers
  • Spoken English, computer and skill coaching centres with short courses
  • Multi-branch coaching chains sharing one student list and one fee plan set
Honest answer

When it is not the right choice.

  • A single tutor teaching a handful of students at home manages well enough with a register and UPI.
  • Schools, pre-university colleges and engineering colleges with their own sections, semesters and university results are served by the School College Management System and the Engineering College Management System.
  • A centre teaching mainly online needs live classes and recorded lectures, which this system does not run. A batch here assumes a room, a slot and a faculty member.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your courses and batch pattern

Courses, batch names, subject sets, batch strength limits and the slots you teach in go in first, as the centre runs them today.

Fee instalment plans

The number of instalments, the dates they fall on and the heads a fee is split into follow the plans your office already quotes to parents.

Test pattern and marking

Weekly, monthly and mock test patterns, the marks per subject and the way a rank is worked out are set up to match your present papers.

Students and dues migrated

Student names, batch allotment, parent numbers and instalments still due are loaded from your admission register or sheet, and the office checks them.

Attendance device and messages

Marking attendance on a phone, on a screen at the gate or through a biometric device is chosen with you. Parent messages can go on WhatsApp, text or email.

Hosting across branches

GullySystem runs the hosting, so every branch works on one student list. Changes to courses, batches and fee plans are made by GullySystem staff.

Common questions

Questions owners ask before a demo.

Can one student sit in different batches for different subjects?

Yes. Each subject has its own batch allotment, and the student record shows every batch and slot together.

Does it track fee instalments rather than one full payment?

Yes. The instalment plan is held on the admission, and each instalment shows as paid, part paid or still due. A reminder names the amount and the date. A pay link inside the reminder is separate work.

Will parents be told when a student is absent?

Yes. Absence notes can go to the parent number from the day’s attendance. Parents can also open the portal in a phone browser and read attendance, marks and dues themselves. The wording and the sending time are settled with the owner.

How are test marks entered?

Subject by subject against a scheduled test. Marks can also be brought in from an OMR or spreadsheet file, which is checked during scoping. Students do not sit the paper on screen, so an online test series with automatic marking is separate work.

Can faculty mark attendance from a phone?

Yes. A faculty member opens the batch for that slot and marks present or absent. A biometric or screen device at the gate is an option as well.

Does it show how much portion is left in a batch?

Yes. Topics ticked in each sitting are compared with the topic plan, and the pending portion shows for the batch.

Can more than one branch work on the same system?

Yes. Branches share the course and fee plan set, each branch sees its own batches and collection, and the owner reads all branches.

Can fee entries reach Tally?

Not built in. Fee collection and instalment reports go to your accountant. A Tally export is separate work, quoted once the ledgers are explained.

Can the old admission register be brought across?

Yes. Student names, parent numbers, batch allotment and pending instalments come over from your register or sheet, and the office verifies the list.

What does it cost?

No price is published. Branches, batch count, devices and set-up all shape the figure. You see a working demo first, and the amount comes in writing.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
