Coaching Centre Software Views for Owners and Faculty
A coaching centre has an office, faculty and coordinators handling the same student. Each role gets the screens for its own work and sees only what it needs.
One student, five roles
Through a working day
A parent walks in asking about a science batch, and the counsellor records the enquiry with the subjects wanted and a demo class date. Morning batches mark attendance from the rooms. The office calls the parents whose instalment falls due this week. A teacher ticks the chapter covered at the end of a sitting. By evening the coordinator has filled a gap left by an absent teacher. Marks are typed in.
At month end
The owner reads admissions taken, instalments collected and overdue, attendance by batch and the hours each teacher held. The accountant receives the fee collection reports from the same records. Faculty see their own sittings and hours. Coordinators read coverage against the plan for every batch they handle. Where a centre runs branches, each branch head reads that branch while the owner reads them all.
What the client decides
- Which roles exist at the centre and who holds each one
- What a role may open, change, cancel or write off
- Who may allow a fee concession or move a student between batches
- Whether faculty can read a student’s instalment position
- Which branches a branch head is allowed to see
Frequently asked questions
Can faculty see what a parent still owes?
That is settled with the owner. Many centres keep instalments with the office and show faculty only attendance and marks.
Do teachers need to come to the office computer?
No. Sittings, attendance and marks open on a phone, and a room screen works where the centre has one.
Can an owner read two branches together?
Yes. Branches share the course and fee plan set, and the owner reads admissions, collection and attendance across them.
Who changes what a role may do later?
GullySystem staff make the change when the centre asks. Role rights are worked out before go-live and revised afterwards.
