A school year turns on three busy stretches: admission season at the gate, the fee instalment date, and the fortnight after exams when nobody in the office goes home on time.

In between, the same child’s name is written into a dozen registers. The system is for one record per student, starting at the admission enquiry and ending with the transfer certificate.

How the work runs today

Admission enquiries come to the gate and over the phone, and go into a notebook. Somebody chases them when somebody remembers, and the child’s details are then copied into the class register, the fee register and the bus list.

Fees come in instalments. A sibling or staff-ward concession is written on the file instead of the ledger. The clerk works out the balance by flipping pages while the parent waits at the counter, and the defaulter list is retyped before every PTM.

Teachers mark attendance in a register and send it to the office at month end. FA and SA marks arrive on slips from each subject teacher, and each report card is typed section by section in the evenings.

Concessions live on the file, not in the ledger

A sibling concession agreed with the correspondent never reaches the fee clerk, and the parent receives a demand for the full instalment.

The fee register and class list disagree

A child who left in June is still in the ledger, and a mid-year admission is missing. The pending figure is never right.

Report cards take a fortnight every term

Marks come from a dozen teachers in a dozen formats, and the office retypes them while parents ask daily when results will be given.

Nobody can say who is on which bus

The route list is with the driver and the transport fee with the clerk, and a child who changed stops in November is missed by both. Two lists, one child.

Print the transfer certificate from the record itself when a child leaves. Bonafide and study certificates are not standard prints. They can be added as a custom template.

Will our accountant still work in Tally?

Yes. There is no live connection to Tally. Fee receipts and expenses export as entries for Tally, so the books stay there while fees, concessions and dues live here.

Can parents pay the instalment online?

Yes, once your payment gateway is connected at set-up. The receipt posts to the student’s ledger, where the concession already sits.

Does it do our board or government reporting for us?

No. Portal entry happens in your own login, and compliance is about how the school is run. What this does is keep admissions, attendance, marks and fee records in one place, so an inspection does not start with a search through cupboards.

Is it a learning platform with video lessons?

No. It runs the office: admissions, fees, attendance, exams and parent messages. Video lessons and live classes belong to a separate learning system, which this does not replace.

What happens in the free technology audit?
