Education · Engineering College Management System

One connected system for the entire student journey.

From the first admission enquiry to graduation and placements, bring your college’s academic and administrative work together around one student record. Give students, faculty, parents, departments and administrators the information and workflows they need, with access suited to each role.

  • Configured to your campuses, departments, programmes, regulations and academic calendar
  • Existing student, result and fee data migrated as part of implementation
  • Implemented and supported from Bengaluru, in phases you choose

Affiliated and autonomous engineering colleges run this system, set up by GullySystem, around one record per student. Most colleges call it a college ERP. Admissions, course registration, timetables, attendance, internal marks, examination results and fee dues all attach to that record. Departments, the exam section and the placement cell work from it. Each college sets its own regulations.

Where it breaks today

What goes wrong before the software.

Admissions and departments hold different records

Admissions teams collect applicant details. Departments manage classes and attendance. The same student is entered twice, and the two entries drift apart.

Examination data sits apart from academics

Examination teams publish results. Where those results are not connected to the academic record, progression and transcripts are reconstructed rather than read.

Fees are tracked separately from the student

Accounts tracks fees. When the fee position is held apart from the student record, dues and concessions have to be reconciled by hand.

Placement teams work from their own lists

Placement teams prepare students for opportunities. Without live academic data, eligibility is compiled manually before each drive.

People repeat data entry across systems

When each team works in a separate system, staff enter the same information more than once and spend time checking which record is correct.

Progress is difficult to follow across the institution

A student’s journey crosses admissions, academics, examinations, accounts and placements. Few colleges can see that journey in one place.

How it runs

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Online Booking Portal

Prospective students apply online, and the admissions office reviews applications, collects documents, records decisions and carries approved details into the student record at enrolment.

  • Attendance & Time Tracking

Faculty record attendance by class or course, and the same record gives shortage by subject, section and branch plus the condonation and detention lists.

  • Receipts Management

Accounts teams record each fee payment against the student’s dues, issue the receipt, and read concessions and outstanding balances from one fee register.

  • WhatsApp, SMS and Email Notifications

Academic notices go to selected groups, such as a branch or a semester, and routine student requests move through set submission and approval steps.

  • Roles and Permissions

Faculty, advisors, heads of department, office teams and administrators each get a workspace matching their role, with workload and assignment views.

  • Report Builder

The examination cell schedules papers, issues hall tickets, enters and approves marks, and reads grades and results from records with a traceable history.

Reports

The numbers the owner asks for.

  • Attendance shortage by subject, section and branch, before the detention list is drawn
  • Internal marks pending, by faculty and subject, during the entry window
  • Semester result analysis: pass percentage, arrears and toppers by branch
  • Placement and internship position by branch, with offers, packages and students still unplaced
  • Fee collected against due, split by quota, concession, scholarship and instalment
  • Faculty workload and student to faculty ratio, in the form the AICTE return wants
  • Admissions against sanctioned intake, by programme, quota and campus
Good fit

Who this is built for.

  • Affiliated engineering colleges under a state technical university
  • Autonomous engineering colleges setting and publishing their own examinations
  • Polytechnics and diploma institutions running a semester pattern
  • Groups running an engineering college alongside a management or pharmacy college
  • Colleges preparing for an NBA or NAAC cycle with data spread across departments
  • Institutions where the exam section, accounts and placement cell each keep separate records
Honest answer

When it is not the right choice.

  • A school up to Class 12, where the School and College Management System fits better
  • A coaching centre preparing students for entrance exams rather than awarding credits, where Tuition and Coaching Centre Management Software fits
  • A university managing affiliation and examinations for other colleges, which is a different system
Made to fit

Adapted to your business before it goes live.

Common questions

Questions owners ask before a demo.

Can we start with a few modules?

Yes. Implementation can be planned in phases, beginning with the workflows your college needs most and expanding to other modules over time.

Can we pull out the data an NBA or NAAC cycle asks for?

The attendance, result, admission, workload and placement reports above come out for your IQAC team to work from. A finished AQAR or NBA submission file is not produced here. That compilation stays with the college.

Do students and parents get their own login, and is there an app?

Each role signs in to its own view, students, parents, faculty, offices and leadership alike. The view opens in a phone browser. There is no separate app. Notices and attendance information also reach parents by SMS, email or WhatsApp.

How does it sit beside the university result portal?

A published university result is imported onto the student record, which is what an affiliated college needs each semester. What a portal permits for uploading internal marks is checked university by university during implementation. A learning management system or accounting software is assessed the same way.

Does it hold the APAAR ID and move credits to the Academic Bank of Credits?

The student record holds the identifiers your office keeps, an APAAR ID among them. Credits are not pushed to the Academic Bank of Credits or to DigiLocker from here. Your registrar works from the semester result and credit records held in the system.

Can it support more than one regulation at a time?

Yes. Students admitted under different regulations carry different credit patterns and academic rules, and each student is assessed under the regulation that applies to them.

How is existing student and result data handled?

Student records, past results, fee ledgers and faculty records are migrated as part of implementation, so historical academic information remains available for transcripts and progression.

What does it cost?

No price is published. Student numbers, the modules you begin with and the state of your present data all shape it. You see a working demonstration, then receive a quote in writing.

Can hostel, transport and library be included?

Yes, where the college runs them. Hostel rooms, bus routes and library records are scoped as extensions beside the academic and administrative modules, not as standard ones.

How long does implementation take?

Time is set by the programmes and regulations in use and the condition of existing data. A phased approach, beginning with one department or one semester, is commonly used.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
