GullySystem
Hospitality and food · Software for pG and hostel operators

Rent day comes on the 5th, and half the follow-up still happens on WhatsApp.

PG and hostel operators sell space by the bed, bill rent and food together, and keep deposits, agreements and police verification papers in a cupboard. GullySystem adapts its paying guest management system to your blocks, sharing rates and mess plan, so every bed, tenant and pending payment is on one screen. The free technology audit comes first.

At a glance

A PG is not let by the room. A triple-sharing room is three arrangements, each with its own joining date, rate and deposit.

A college hostel works the same way, with blocks, rooms, beds and a mess plan on each student’s bill. Our paying guest management system is built on that shape.

How the work runs today

A student sees the room, likes the second floor, and pays a token that goes into a notebook. The warden takes an ID copy for police verification and writes the deposit on the agreement.

Rent runs from the joining date and not from the 1st, so the first month is part rent plus food. The mess plan, the laundry charge and a broken window are added by hand.

From the 5th the warden starts calling, and money comes by UPI, bank transfer and cash. At move-out the deposit is argued over, because nobody wrote down the room’s condition at joining.

Where it breaks

What goes wrong for pG and hostel operators without a proper system.

Nobody can say which beds are free

A bed vacated on Saturday stays empty for a fortnight, because Sunday’s enquiry was told the PG is full.

Rent and food are two different numbers

Rent sits in one sheet and the mess charge in another, so the tenant gets two figures and argues with both.

The deposit is settled from memory

Nobody recorded the cupboard and the geyser at joining, so the cut at move-out becomes a quarrel and a bad review.

Police verification papers are a pile of photocopies

You cannot say whose ID proof is still pending without going through the file drawer.

What the software does

What we would build for pG and hostel operators.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Bed-level occupancy

Blocks, floors, rooms and beds as your building is, each bed showing who is in it and at what rate.

Tenant record with KYC

ID proofs, agreements and police verification forms against the tenant, flagged while the papers are still pending.

Rent and food on one bill

The monthly bill builds from the joining date and the food plan, with laundry, electricity and one-off charges on it.

Rent reminders and the dues list

Who has paid, who has part-paid and who has not, with reminders sent instead of typed out one by one.

Deposits held and refunded

The deposit taken, dated notes on the room at joining and leaving, and the amount returned against each.

Mess plan and complaints

Each tenant’s food plan and the kitchen’s provisions, and repair requests logged against a room and closed with a note.

Ready products

Ready products that fit pG and hostel operators.

Each one is adapted to how your business works before it goes live, and anything your trade needs that it lacks is added then. You are not paying to build the basics again.

How it works

How the work runs from Bengaluru for your city.

  1. 01

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 02

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 03

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 04

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 05

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions pG and hostel operators ask before they call.

Can it show free beds and not just free rooms?

Yes, occupancy is kept bed by bed. A room with one tenant leaving shows one bed free at that bed’s rate, which is how you actually let space.

Will our rent collection go into Tally?

Not on its own. Bills, receipts and deposits come out as Excel or PDF for your accountant, and a direct link can be added during set-up.

Can the warden use it on a phone?

Yes. It opens in a phone browser, so a cash payment or a leaking tap is recorded on the floor and not at the desk an hour later.

We run one PG with twelve rooms. Is this too much for us?

Possibly. If you let a few rooms to long-staying tenants and collect the rent yourself, a register will serve you. It earns its place once you take food money or hand the floor to a warden.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
