Record each vintage from harvest to bottle, cellar door and wine club.

Wineries keep harvest records, barrel notes, bottling dates and club lists in separate files. The winery product holds vintages, lots, tank and barrel contents, dry goods, finished stock and customer sales together. Cellar door, club and trade orders draw on one stock list. Nothing hides in a notebook.

At a glance

A winery works on a yearly cycle. Fruit comes in at harvest, ferments in tanks, ages in barrels and is bottled months or years later. One vintage can split into many lots. Each lot has its own story.

The vineyard team, the cellar team, the tasting room and the trade sales desk all need part of that story. Most wineries hold it in spreadsheets, a notebook and the memory of the winemaker, which works until someone is away or a vintage is audited by a buyer. Records matter.

How the work runs today

At harvest the vineyard manager records picks by block and grower, and the receiving team weighs each load. The winemaker plans fermentations, blends and racking. Cellar staff log every transfer between tank and barrel along with lab results, so that each wine keeps a written history from the first press through to the final bottling run.

Bottling runs draw down dry goods such as glass, corks and labels. Finished wine goes to the tasting room, the wine club and trade buyers. The cellar door team takes bookings for tastings and sells bottles, while the club manager prepares shipments and charges members each season.

Where it breaks

What goes wrong for wineries without a proper system.

Lot history is hard to rebuild

A blend may draw on several tanks and barrels from different blocks. The path from fruit to bottle is spread across notebooks and files.

Barrel and tank contents are not visible

Which wine sits where, how much, and when it was last topped up depends on one person’s memory or a printed sheet. That is risky.

Dry goods run short at bottling

Glass, closures, capsules and labels are ordered by estimate. A shortage is found when the bottling line is booked.

Club and cellar door lists drift apart

Members, tasting bookings and bottle sales sit in different tools. Allocations are decided from partial data.

Trade orders and stock disagree

Distributor orders, allocations and bottles held for the club are counted separately, so the same case can be promised twice.

What the software does

What we would build for wineries.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Vineyard blocks and harvest intake

Record picks by block, variety and grower, with weights and receiving notes tied to the vintage.

Vintage and lot records

Follow each lot through fermentation, blending and ageing, with lab results and additions on the same record.

Tank and barrel register

Show what each tank or barrel holds, its volume, its history and the next scheduled task.

Bottling and work orders

Plan a bottling run, draw down glass, closures and labels, and record the bottles produced per lot.

Cellar stock and allocations

Count finished wine by wine, vintage and location, and set aside allocations for the club, the cellar door and trade.

Cellar door, bookings and club

Take tasting bookings, sell bottles, run seasonal club shipments and charge members on schedule.

Trade orders and invoices

Record orders from distributors and restaurants, ship from stock, and raise invoices with the right tax settings.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions wineries ask before they call.

Can it track blends across several lots?

Yes. Each blend lists its lots and volumes. A bottled wine can then be followed back through tank and barrel to the vineyard block.

Does it support online sales and shipping?

Club shipments and orders are recorded in the system. A web shop and carrier links can be connected, subject to the rules for shipping alcohol where you sell.

Is it only for large estates?

No. A small family winery can start with lots, stock and the cellar door, and add the club and trade orders when they are needed.

Can we import our vintage spreadsheets?

Yes. Past vintages, stock counts and member lists are imported and checked with the winemaker before the first harvest on the system.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
