Run reservations, turnovers and owner statements for every rental home from one record.

Vacation rental operators manage homes for owners and sell nights on several booking channels. Calendars, cleaning rosters, guest messages and owner payouts usually sit in separate tools. The rental product keeps each unit, reservation, turnover, maintenance job and owner statement on one record. A double booking or a late clean is seen before the guest arrives.

At a glance

A vacation rental operator sells the same nights on more than one channel. Each home has an owner, a calendar, a cleaner, a key safe or smart lock code and a set of house rules. A guest stay touches all of them.

Most operators hold these in a channel manager, a cleaning chat group and a spreadsheet of owner payouts. When a reservation changes, someone updates three places by hand. Mistakes follow.

How the work runs today

Reservations staff answer enquiries, confirm bookings and send arrival instructions with the lock code, Wi-Fi password and parking notes. They watch the calendars for overlaps between channels and block nights for owner stays. Early check-in requests are checked against the morning clean and the gap nights either side.

Housekeeping teams receive a turnover list for each departure date, with the linen set, welcome pack and any extras the stay used, such as hot tub chemicals. Inspectors photograph each home after the clean. Maintenance staff get the faults guests report, such as a dripping tap or a dead hub, and book a contractor.

At month end the accounts team works out each owner’s statement. Rental income is added up by channel. The management fee, cleaning charges and repair costs come off before the payout is sent, and any dispute is traced line by line.

Where it breaks

What goes wrong for vacation rental operators without a proper system.

Calendars drift apart across channels

Each booking channel holds its own calendar for the same cottage or apartment. An iCal sync that fails for an hour can leave one night sold twice.

Turnover cleans start without the booking

The cleaner’s list is built from a chat message. Same-day departures and arrivals are missed when a reservation moves. The guest finds an unmade bed and no towels.

Damage deposits have no trail

A security deposit or damage waiver is held on a card or taken in cash. The check-out photos, the claim and the refund sit in different places.

Owner statements are rebuilt each month

Income by channel, platform fees, cleaning fees, linen costs and repair invoices are pulled from separate exports. Owners question the total and the operator has to trace each line.

Faults reported by guests are not followed

A message that the boiler failed on night two is read by one person. Nobody records the contractor visit or tells the owner what it cost.

What the software does

What we would build for vacation rental operators.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Unit calendar and reservations

Hold each home as a unit with its bedrooms, capacity, minimum stay and rates, and see every reservation, owner block and gap night on one calendar.

Channel and direct booking intake

Bring reservations from each booking channel and from your own website into one list, with the guest, dates, party size, source and channel commission.

Guest messages and arrival details

Send the confirmation, the lock code, the house rules, the Wi-Fi details and the check-out reminder from the reservation, in the guest’s language. Early arrivals get a reply.

Turnover and inspection tasks

Create a clean for every departure, assign it to a housekeeper with the linen set and welcome pack, and close it with an inspection checklist and photographs.

Maintenance and contractor jobs

Log a fault such as a dead boiler or blocked drain against the unit, assign a contractor, record the cost and charge the owner or guest.

Deposits, folios and tax lines

Record the rent, cleaning fee, security deposit and local occupancy tax on each stay, with the refund or claim at check-out. The guest’s folio shows every line.

Owner statements and payouts

Work out each owner’s statement from stay income, channel commission, the management fee and the cleaning and repair costs charged to the home, ready for payout.

Common questions

Questions vacation rental operators ask before they call.

Can it link to our channel manager, or straight to the booking sites?

It can be connected to the channel manager you already use, or to channels that offer a connection for property managers. Which one suits your homes is decided in the first review. Some channels allow less than others.

We manage homes for owners and also own a few ourselves. Does it handle both?

Yes. A unit can be marked as managed for an owner with a fee rule, or as your own with no statement. Reports show the two groups apart.

Does it hold the door codes for smart locks?

It stores the key safe code or smart lock instruction for each unit and sends it to the guest on the arrival message. Whether a lock is set from the system depends on the lock maker and is reviewed with you.

How does the occupancy tax get handled?

Each stay carries the tax lines your area asks for, set up per location. Filing stays with you and your adviser. The report lists the stays and amounts to file from.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
