By the time the bus reaches the second stop, the office knows which child did not board.

What goes wrong before the software.

The transport list and the fee list never match

One sheet holds the children on each route. Another holds who paid for the term. A child rides all year on a seat nobody billed, and you find it in December when somebody compares the two.

A parent rings at 7:40 to ask where the bus is

The office calls the driver, who cannot pick up because he is driving. The mother is told to wait five minutes. Ten more calls arrive the same morning.

Nobody can say for certain that a child boarded

The attendant knows, and she knows it in her head. If a child stayed back with a friend, the first person to ask the question is his mother at four o’clock.

Routes were drawn three years ago

Children have moved house, two stops have nobody left on them, and one bus goes four kilometres out of its way for a single child. Nobody redraws it because that is how the route has always run.

The fitness certificate expired last month

Fitness, permit, insurance, PUC and the drivers’ licences sit in one file in the almirah. Somebody remembers a date only when a constable at the signal remembers it first.

Diesel is a number the driver tells you

Fuel slips come in without an odometer reading against them. A bus doing eighteen kilometres twice a day and one doing forty look much the same on paper.

How the work flows through it, step by step.

    June, before the term starts

    Stops are drawn from where the children actually live now, and each stop gets a pick-up and a drop time. Buses, drivers and attendants go against routes. A route short of a driver shows up today, not on the first morning.

    The sign-up, and the seat

    The office maps the child to a stop, a bus and a trip: morning, evening or both. Parents’ numbers go on the same record. Seats free on that bus drop by one.

    The fee for the term

    Transport fee is raised by the distance slab that stop falls into, for the term, against that child. Parents pay online or at the counter and a receipt goes back. Anyone riding without paying is on the dues list, not hidden in it.

    A quarter past seven on Tuesday

    The attendant opens the trip on her phone and marks each child as they climb in. A child who does not board is marked so, and the message reaches the parent before the bus turns onto the main road.

    Back at the depot

    Odometer at start and at end, litres filled, the fuel slip, and anything that went wrong with the bus are logged against the trip. Kilometres per litre stops being an argument.

    The dates that come around

    Fitness, permit, insurance, PUC and licence renewals sit on the bus and on the driver. Each appears on a list before it lapses. Somebody still has to go and stand at the RTO.

  • It is not a GPS device. The software records the trip and shows live location only from a tracking unit the school buys and fits, which is a separate decision and a separate bill.

Common questions

Questions owners ask before a demo.

Does this student transport software tell a parent when their child did not board?

Yes, as long as the attendant marks the trip. Any child not marked as boarded sends a message to the parent’s number on the record. If nobody marks anything on the bus, there is nothing to send, which is why attendants are trained before the office is.

Do you have transportation software for schools that also collects the transport fee?

Yes. Fee is raised per term by the distance slab of the child’s stop, and parents pay online, by UPI or at the counter. Because the fee comes off the same list as the seat, a child riding without paying lands on the dues list in week one.

Does it show live bus location on a map?

Only if a tracking unit is fitted to the bus. That device and its SIM are chosen, bought and installed separately, and the map is never better than the unit sending it. On its own the software records the trip, the stops, the boarding and the odometer.

Have you built school bus management software before?

Yes. We built a transport booking system for an operator carrying school children. Registration, routing, fee collection and finance moved onto one set of records, instead of three spreadsheets that disagreed. The case study is published on this site.

Can the attendant mark boarding where there is no network?

Not today. It runs in a browser and needs a signal, and most routes have one for most of the way. On a stretch without coverage, those children are marked when the signal returns. We say this before you buy, because a demo in the office never shows it.

Can transport fees reach Tally?

Through your accountant, yes. Collections by term, route and payment mode export for Tally, and the ledgers are agreed with him during set-up. A direct connection is separate work, and worth it only at volume.

Can you bring our existing routes and student list from Excel?

Yes. Stops, the children on each route, parent numbers, buses and drivers are loaded before the term starts. Your transport in-charge checks one full route first, because a wrong stop against a five-year-old is not a small mistake.

We outsource our buses to a contractor. Is this still useful?

Often more so. Your school keeps the student mapping, the boarding record and the fee, while the operator runs the vehicles. Both sides then argue from the same trip list rather than two versions of the same morning.

Who owns the student and parent data?

The school does. Children’s names, addresses and parents’ numbers belong to you, not to us. Access is by role, so a driver sees a stop list and never a database, and the proposal covers a full handover, including if you leave.

What does it cost?

No published price. Buses, routes and how much has to change for your terms and slabs decide it. You see a demo built on one of your own routes, and the figure comes in writing after that.
