Reports for School Transport In-charges and Owners
The reports cover boarding, trips, fees, seats, fuel and renewals. Each is read from the trip, route and bus records that the transport team already updates.
Several records in one place
Transport produces records in separate hands: boarding marks from the attendant, fuel slips from the driver, receipts from the front office and renewal dates from the in-charge. The reports read from those records together, so a question from the owner can be answered without joining sheets by hand. Each total is built from the trips and slips entered. An unmarked trip shows as a gap.
The reports
Who acts on them
The in-charge works from trips, seats and papers falling due, while the front office reads fee and dues by route. Accounts reads fee collection against fuel and repair cost, and principals and owners read boarded against mapped and collection against what was raised. Each reader sees the reports that match the job they do.
What the figures depend on
- Boarding is recorded only if the attendant marks the trip
- Fuel figures need odometer readings and litres entered
- Dates for renewal come from what the office records
- Extra reports are scoped during implementation
- Fleet inspection remains with the school
Frequently asked questions
Are the reports live?
Yes. Each report refreshes whenever a trip is marked or a fee is posted.
Does a report show missed marks?
A trip that was never marked shows as not run or incomplete, so the gap is visible. Correct it the same day if the mark was missed.
Can we change the two-month renewal window?
The list is described for the next two months. Any other window is agreed with the school during scoping.
Can reports be added beyond this list?
Yes, once the records behind it are entered. The school and our team settle what an added report should show before work on it begins.
