One student record carries the profile, guardian, documents, academic history and fee position from admission to transcript. Every status change is stored with its date, reason and approval.
A record that stays open
Students may be detained, take a break, carry backlogs or rejoin after some years. The department, the exam section and the fee office each need the same history. This record stays open through all of these events. Nothing has to be reconstructed from three offices.

Does a detained or discontinued student stay in the system?
Yes. The status change is recorded with its date, reason and approval, and nothing is closed. Anybody who returns keeps the earlier history.
Can a student take longer than four years?
Yes. Anyone carrying backlogs stays enrolled across further attempts, with the academic history and the regulation unchanged.
Which documents are held against the student?
Marks cards, the transfer certificate, and category and income certificates where a quota needs them. Notes also show which originals the office is holding.
Can parents see the record?
Parent access is optional and is usually limited to attendance and fee dues. What parents see is a setting that each college decides.
How is the name on the certificate handled?
It is a field of its own, because it comes from the school leaving certificate and can differ from the name in daily use. Corrections go through a recorded request.
