Training and education · Software for daycares and creches

Keep every child’s attendance, pick-up, health note and fee on one record.

Daycares and creches take in children from infancy to school age. Each child’s file is as important as the care itself. The software holds enrolment, daily attendance, authorised pick-up, health and allergy notes and fees for each child. Carers, parents and the manager read the same record. Daily updates and invoices go out from it.

At a glance

A daycare or creche cares for babies, toddlers and pre-school children, usually in rooms grouped by age. Every child has a guardian list, health notes, a daily routine and a fee plan. Every room must also meet the staff-to-child ratio set by its local regulator, and that ratio differs from one country to the next.

The software gives each child one profile and each room one daily sheet. Attendance, meals, naps, incident notes and pick-up are entered where the child is. Updates and invoices reach families from the same record. The manager sees rooms, staff and fees together.

How the work runs today

A parent enquires, visits the centre and joins a waiting list for a room that suits the child’s age. When a place opens, the office sends an enrolment pack and collects the guardian list, emergency contacts, immunisation records, allergy notes and consent forms. A fee plan is agreed by session, by day or by month, with any sibling discount or funding arrangement applied.

Each morning, carers sign children in. Through the day they record meals, naps, nappy changes, activities and any accident or incident. At closing, only authorised adults collect a child, and the carer notes who. The office sends parents a daily summary and raises the monthly invoice. Payments and late fees are followed up. The manager plans staff rotas so that every room meets its ratio.

Where it breaks

What goes wrong for daycares and creches without a proper system.

Attendance and ratios sit on paper

A paper register shows who arrived, not how many carers a room has at that moment. A ratio gap is noticed on inspection day, if at all.

Pick-up authority is held in memory

The guardian list sits in a folder. A new or cover carer cannot be sure who may collect a child, and the handover is hard to prove later.

Health and allergy notes are scattered

Allergies and medication instructions are in an enrolment form, on a notice board and in one carer’s head. A cover carer may never see them.

Fees follow attendance by hand

Come month end, someone reads the sign-in sheets and works out session fees, late pick-up charges, sibling discounts and funding top-ups.

Parents ask what happened today

Daily updates are written on paper or sent from personal phones. Families get uneven information, and the centre keeps no copy of what was said.

What the software does

What we would build for daycares and creches.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Enquiries and waiting list

Log every enquiry with the child’s age and the days wanted, book centre visits, and hold a waiting list by room so a free place is offered in order.

Child profiles and enrolment

Keep guardians, authorised pick-up adults, emergency contacts, immunisation records, allergies and signed consents on one profile for each child.

Daily attendance and pick-up

Sign children in and out by room, record who collected each child, and see staff and child counts for every room as the day goes on.

Daily care log

Record meals, naps, nappy changes, activities, medication given and any incident. Parents receive the day’s summary from these entries.

Fees and invoices

Set fee plans by session, day or month, apply sibling discounts and funding shares, raise invoices each cycle and post payments against them.

Staff rota and ratios

Plan carers by room and shift, enter the ratio your regulator sets for each age group, and see where a room falls short before the day begins.

Common questions

Questions daycares and creches ask before they call.

Can it help us keep to staff and child ratios?

It shows how many children and carers are in each room at any moment. The ratio your regulator sets is entered per age group and reviewed during implementation.

Can parents see updates about their child?

Yes. Each parent gets a login to their own child’s record, and the day’s summary and the monthly invoice arrive by email, SMS or messaging.

Does it support different fee types?

Yes. Fees can follow sessions, days or months, with sibling discounts, late pick-up charges and funding shares. Tax and currency are set per country.

How is children’s data kept private?

Each carer sees their own room, each parent sees only their own child, and the manager sees everything. Retention and consent rules depend on your country and are reviewed during implementation.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
