Training and education · Software for professional certification institutes

Run counselling, weekend batches, fee instalments, mock tests and certificates from one learner record.

Professional certification institutes prepare working professionals and graduates for courses such as project management, accounting, data analytics, digital marketing and quality certifications. Leads arrive from ads, webinars and referrals, and batches run on weekends or weekday evenings. The software keeps counselling, admission, batch, instalments, attendance, mock tests and the certificate issued on one learner record.

At a glance

A certification institute sells to people who already have a job. Enquiries come in the evening, classes run at the weekend, and fees are paid in instalments across the course.

Our tuition and coaching product runs the batches, attendance, fees and tests. Certificate numbering, exam registration tracking and corporate batches are added during implementation where the institute needs them.

How the work runs today

A lead comes in from a search ad, a free webinar or a past learner’s referral. A counsellor calls back, explains the syllabus, the batch options and the instalment plan, and books a demo session or a second call. Some leads take weeks to decide.

Once enrolled, the learner joins a weekend or weekday evening batch with a trainer who is often a working practitioner paid per session. Attendance, assignments and mock test scores are tracked, because some exam bodies set an eligibility condition the institute has to show.

Near the end, learners register for the external exam on the certifying body’s site. The institute issues its own course completion certificate and follows up on who cleared.

Where it breaks

What goes wrong for professional certification institutes without a proper system.

Leads go cold between calls

Enquiries sit in an ad dashboard, a webinar list and a counsellor’s phone, with no follow-up date. Many never hear back.

Instalment dues are chased late

Fee plans are agreed at counselling, but the second and third instalments are followed from a spreadsheet. Dues surface at course end.

Eligibility questions catch the office out

A learner asks whether their attendance and mock scores meet the exam body’s condition, and the answer takes a day to assemble. Records sit in three places.

Certificates are hard to verify

An employer emails to check a certificate, and staff search old folders for the batch. Nobody can confirm quickly.

Trainer sessions are counted by hand

Practitioner trainers are paid per session, and the count is rebuilt from WhatsApp messages each month. Disputes follow.

What the software does

What we would build for professional certification institutes.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Leads, counselling and demos

Record enquiries from ads, webinars, the website and referrals with the course asked about, the campaign that brought them, and the learner’s current role and experience. Each lead carries a counsellor, a call-back date and a demo session until it enrols or closes.

Courses and batches

Set up each certification course with weekend, weekday evening and corporate batches, strength limits and the trainer for every slot. Each learner record shows every batch joined.

Fee plans and instalments

Hold the instalment plan agreed at enrolment, take part payments by cash, UPI or cheque, and send reminders that name the amount and the date.

Attendance and assignments

Mark attendance for each session and record assignments submitted. The learner’s attendance and scores sit together when an eligibility question comes in.

Mock tests and score history

Schedule mock tests by batch, enter marks by section, and build a score history per learner. Marks can also come in from a spreadsheet file.

Trainer sessions

Keep trainer records, the courses each one teaches and the sessions taken per batch, so per-session pay is worked out from the timetable.

Certificates and exam outcomes

Added during implementation: a certificate number per learner that an employer can check, and the external exam date and result recorded against the learner.

How it works

How the work runs from Bengaluru for your city.

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions professional certification institutes ask before they call.

Can learners take live online classes or recorded lectures inside it?

No. Batches here assume a slot and a trainer, and attendance is marked for each session. Live classes and recorded lectures run on a separate video or learning platform.

Does it register learners for the external exam?

No. Learners register on the certifying body’s own site. The institute can record the exam date and the result against each learner.

Can corporate clients see their employees’ progress?

Yes, as an addition. A login for the client’s HR contact can show attendance and scores for their own employees only. It is scoped during implementation.

Can several centres or cities share one system?

Yes. Centres share the course and fee set-up, each centre sees its own batches and collection, and the owner reads every centre together.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
