Training and education · Software for online course providers

Courses, cohorts, instructors, learner payments and support all kept in one set of records.

Online course providers sell self-paced programmes, live cohorts and certificates to learners in many countries. The course product keeps the catalogue, enrolments, instalment plans, instructor payouts and learner queries together. Teams see who joined, who paid, who has gone quiet and which affiliate sent them.

At a glance

An online course business sells access. A learner buys a programme, joins a cohort, attends live sessions and submits a capstone. Behind that sit a catalogue, an instalment plan, a mentor who must be paid and a support inbox for every question.

These usually live in a learning platform, a card gateway, a spreadsheet and a shared mailbox, so staff move between four tools to answer one question about one learner. Lesson drip, webinar lists and refund notes all sit in different places. It is slow.

How the work runs today

Marketing teams publish landing pages, run webinar funnels and track UTM tags and affiliate codes. Enquiries arrive from forms, chat and email, and admissions staff call the interested ones, explain the cohort dates and send a payment link. Finance matches each gateway charge to a learner and issues the tax invoice.

Instructors and teaching assistants run live sessions on a video call and grade assignments. Programme managers watch attendance and chase learners who have missed two classes, while support staff handle login resets, chargebacks, refund requests and certificate reissues from several time zones. Calls overlap.

Where it breaks

What goes wrong for online course providers without a proper system.

Enrolments and payments sit apart

The learning platform knows who has lesson access. The card gateway knows who paid. At month end finance matches the two, learner against charge, line by line in a spreadsheet, and refunds are found by hand.

Instalment plans are tracked in sheets

A learner who pays in parts is followed on a spreadsheet, and failed card retries are noticed late. Access is not paused on any clear rule, so staff argue each case.

Instructor payouts are reckoned from several exports

Pay may be per cohort, per live session, per mentor hour or by revenue share. The sums come from several exports, are checked by hand against attendance sheets and contracts, and are disputed at month end.

Support questions have no owner

Refund requests, certificate reissues and login resets share one inbox. Nobody can say which are open, who owns them or how long they have waited since the learner wrote.

Enquiries are not followed up

Leads arrive from ads, webinars, affiliates and referrals, and without one list the same person is called twice by different officers while another is never called at all.

What the software does

What we would build for online course providers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Course and cohort catalogue

Hold each course, its batches, drip schedule, start dates, seat limits, waitlists and price in one catalogue that admissions, finance and the programme manager all read from the same entry.

Enquiries and admissions

Collect leads from landing pages, webinars, affiliate links and referrals, assign them to admissions staff and see which have enrolled, which dropped and why.

Instalment plans and subscriptions

Set instalment plans, early-bird tiers and recurring fees for each learner, with reminders ahead of due dates and a clear flag on the record when lesson access should pause.

Invoices, receipts and refunds

Raise tax invoices in the learner’s currency, record every charge against the enrolment it belongs to, and handle refunds and chargebacks with the reason and the approver kept on file.

Instructor contracts and payouts

Record each instructor’s fee, mentor rate or revenue share, and total what is payable per cohort and per live session for month-end payment.

Learner support desk

Each learner query becomes a ticket with a named owner and a due time, which keeps refund, access and certificate requests in view and ageing queues visible to the programme head.

Common questions

Questions online course providers ask before they call.

Does it replace our course platform?

No. Videos, quizzes, SCORM packages and lessons stay on your learning platform. The product holds the business side: the catalogue, enrolments, payments, payouts and support queue. A link between the two is scoped at implementation.

Can we sell to learners in several countries?

Yes. Each country and currency can carry its own price list, tax invoice and receipt layout. Which tax rules apply to each sale is for your accountant to confirm, and the settings are reviewed during implementation.

Can instructors be paid a share of revenue?

Yes. A flat fee per cohort, a rate per live session, a mentor hourly rate or a share of collections can each be recorded for each instructor. The product totals what is payable. Your own bank makes the transfer.

Can learners see their own payment plan?

Yes, through a portal login if you want one. Learners see invoices, receipts, their grades and the next instalment due. Whether a portal is worth having at your size is settled during the demonstration, with your admissions and finance leads in the room.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
