New customers join the right audience

When a customer is created and has agreed to marketing, their email, name and merge fields are added to a Mailchimp audience. Customers without recorded consent are left out, and the audience never receives a name that your own records cannot show permission for. Consent is checked first, and a customer whose consent is withdrawn in your system is removed from the audience before the next campaign goes out.

Behaviour becomes tags

A lapsed membership, a first purchase or an overdue balance adds or removes a tag on the subscriber. Marketing then builds segments on tags without exporting anything. No more list files.

Unsubscribes close the loop

When someone unsubscribes or the address is flagged as cleaned, Mailchimp notifies a webhook. Your system marks the contact as not to be emailed, so other tools respect it too. Stopped means stopped.

Campaign results land on the profile

Opens, clicks and sent campaigns are summarised on the customer record. Staff can see that a person received last month’s offer before they phone about it. Staff see it at a glance.

Custom events trigger journeys

A completed booking or a delivered order can be sent as an event. Mailchimp automations that listen for that event send the thank-you or review request.

1. Choose audiences, tags and direction

We pick the audiences to run, the merge fields and tags worth keeping, and the direction each one travels. Consent and suppression always flow back to your system.

2. Connect and test

We connect with an API key or OAuth and test with a separate audience holding a few staff addresses. Nothing goes to real subscribers until you approve a trial run. No surprises.

3. Sync audiences, tags and consent

Merge fields, tag names and subscriber statuses are lined up with your customer fields. Duplicate addresses are matched on lowercase email, so a capital letter in a typed address never creates a second subscriber for the same person. Rejected or compliance-held contacts are listed with the reason Mailchimp returned. Each can be fixed.

4. Verify unsubscribes, then hand over

Each day the subscribed, unsubscribed and cleaned totals in Mailchimp are checked against your customer list, and any gap is listed by address. You receive a mapping sheet and instructions for adding new tags, so marketing can extend the setup alone.

Does the Mailchimp link work both ways?

Partly by design. Customer data and tags go to Mailchimp. Unsubscribes, bounces and engagement come back. We rarely allow edits in return, and a bounce on a customer’s address raises a task for whoever owns that account. Core details stay yours.

What does our Mailchimp plan need to include?

Audience limits, automations and custom events differ between plans. We confirm which of them your account has during scoping, and design around any that are missing. Gaps are planned for, and any feature your plan lacks is replaced with a simpler tag or a manual step that your team can follow without help.

Can we bring in our existing subscribers?

Yes, with care. We match the exported list against customers, keep the original unsubscribe status and only add people whose consent you can show.

What happens if Mailchimp changes its API?

We watch the endpoints we depend on and update the connection under support when needed. Your campaigns keep running in the meantime, because sending is done by Mailchimp itself.
