Training and education · Software for vocational training institutes

Follow each trainee from enquiry through batch, practical hours, assessment and placement.

Vocational training institutes run trade courses such as electrician, welding, beauty, tailoring, retail, accounts and nursing assistant work. Some batches are fee-paying and some run under a government skilling scheme. The software keeps enquiries, admissions, batches, attendance, fee instalments, assessments and placement follow-up on one trainee record, so the centre answers a funder, an assessor or a parent from the same list.

At a glance

A skill centre runs several trades at once, each with its own batch calendar, trainer, workshop slot and assessment date, and often with fee-paying and scheme-funded trainees in the same building.

Our tuition and coaching product covers the classroom side: enquiries, admissions, batches, attendance, fees and tests. Practical logbooks and placement follow-up are added for a vocational centre during implementation.

How the work runs today

Mobilisers bring in enquiries from villages, colleges and walk-ins, and the counsellor fixes a counselling session for each one. Admission collects the trainee’s ID, education proof, photo and bank details, and the trainee is placed in a trade batch.

Each day has theory in the classroom and practice in the workshop or lab. Attendance is marked for both, and some funders ask for a biometric record of it. Trainers note which practical tasks each trainee has completed.

Near the end of the course an assessment is held, sometimes by an outside assessing body. Certificates follow, and the placement cell calls employers, sets up interviews and records who joined where.

Where it breaks

What goes wrong for vocational training institutes without a proper system.

Batch records live in many registers

Admission forms, attendance books and fee receipts are kept separately for each trade. Totals never match.

Practical hours are hard to prove

Workshop tasks are signed in a paper logbook that goes missing before assessment. Then the trainer rewrites it.

Scheme paperwork is rebuilt for every claim

Attendance, assessment results and placement proof are collected again from files whenever a funder asks. The office stops teaching work to do it.

Placement follow-up fades after joining

The cell records the first job, but whether the trainee stayed is chased by phone months later. Most calls go unanswered.

What the software does

What we would build for vocational training institutes.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Enquiries and counselling

Record enquiries from mobilisers, walk-ins and calls with the trade asked about. A counselling date and follow-up stay on each enquiry until the trainee joins or drops out.

Admissions and trainee records

Enter the admission form, photo, ID, education details, parent contact and fee plan on one trainee record. Every batch the trainee attends shows on it.

Trades, batches and timetable

Set up each trade as a course with its batches, strength limits, trainers and rooms, and place theory and workshop slots on a weekly timetable without double-booking a room or trainer.

Attendance by batch

Mark present, absent and late for each sitting from a trainer’s phone, or from a biometric device at the gate. Trainees whose attendance has fallen are listed for a call.

Fees and instalments

Hold the instalment plan for fee-paying trainees, take part payments by cash, UPI or cheque, and send the receipt. Scheme-funded trainees carry no fee plan.

Tests and assessment marks

Schedule internal tests by batch and enter marks by module. Results from an outside assessment can be brought in from a spreadsheet file.

Practical logbook and placement tracker

Added during implementation for a vocational centre: practical tasks signed off per trainee, and employer, role, joining date and follow-up calls recorded after placement.

Solutions inside

The business modules vocational training institutes use most.

Each one is also available on its own, or inside a system built for you.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions vocational training institutes ask before they call.

Does it upload data to a government scheme portal?

No. Attendance, assessment and placement lists can be exported in the columns a scheme asks for. Uploading to the scheme’s own portal stays with your centre.

Can attendance come from a biometric device?

Yes. A biometric device at the gate is an option alongside trainers marking from a phone. Which device models connect is checked during scoping.

Can it run online courses and recorded lectures?

Not on its own. A batch here assumes a room, a slot and a trainer. A centre teaching mainly online needs a learning platform beside it.

Can several training centres share one system?

Yes. Centres share the trade and fee set-up, each centre sees its own batches and collection, and the head office reads all centres together.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
